Purpose of the role
The Admin Support Officer provides administrative, program coordination, and community support across the client's leadership programs.
The role ensures programs run smoothly, participants feel supported, and operational processes stay organised. It acts as a central coordination point between consultants, program participants, and internal systems.
The goal is to reduce operational load on senior consultants and improve participant experience across all programs.
Key duties
1. Program coordination
Manage participant enrolments and collect required information
Allocate participants into cohorts and track program timelines
Send onboarding communications and program logistics
Track attendance and engagement levels
Identify disengagement risks and escalate early
Coordinate program close-out (certificates, communications)
2. Executive and business administration
Calendar and diary management
Booking coaching sessions, workshops, and meetings
Prepare consultant availability schedules
Document preparation, formatting and proofreading
Spreadsheet updates and basic reporting
3. Systems and digital support
User setup and troubleshooting platform access
Basic website updates (WordPress content changes)
Create or compile proposals and documents
Prepare PowerPoint presentations
Maintain CRM and data records
4. Marketing and communications support
Schedule social media posts
Coordinate keynote and event logistics
Maintain templates and brand materials
Ensure brand consistency across communications
5. Ad-hoc administration
Travel bookings and logistics
Business follow-ups such as insurance or accounts reminders
Other administrative tasks supporting the Director and consultants
Must have attributes
Excellent organisation and program coordination skills
Strong written communication and professional tone
