Job Description - Administration Assistant


Responsibilities





    The Administration Assistant is responsible for providing quality service to ECA and Expert Experts  clients, consultants, experts, claimants and third parties. The position includes but is not limited to the following tasks, duties and responsibilities:
  • Receiving and processing enquiries by phone or email or letter or fax from clients and insurance claimants

  • Liaising with clients to clarify their requirements;

  • Reviewing, sorting and scanning client documentation;

  • Preparing templates for consultants;

  • Preparing invoices;

  • Sending and chasing correspondence with clients, experts and consultants and other parties;

  • Organising interpreters, flights, accommodation, transport and meals;

  • Organising appointments, views and conferences;

  • Researching and obtaining information for consultants including from third parties;

  • Formatting draft reports for presentation;

  • Liaising with accounts to ensure compliance with financial requirements;

  • Loading new referrals

  • Formatting expert CV / Save to CNSLT referral

  • Invoicing

  • Sending Approval to Submit to experts

  • Preparing Coversheet

  • Chasing Approval to Submit to experts

  • Chase client Expert Submissions

  • Chase expert quotes from experts (Expert Quote)

  • Chase client acceptance of EE Quote (EE Quote)

  • Chasing LOI for provisional quotes

  • Answers Inbox

  • EE Close Review

  • First Responder

  • Monitoring Admin Mailboxes

  • Monitoring ECA Mailbox

  • Monitoring ECA Draft Reports Mailboxes

  • Load new referrals

  • Organising an interpreter

  • Cancelling an appointment

  • Rescheduling an appointment

  • Converting to video

  • Converting to F2F

  • Hosting Zoom Meetings

  • Sorting Client Documents

  • Formatting

  • Templates and SYNC

  • Invoicing

  • Reconfirmation of appointment

  • Checking appointment required/jobs on hold

  • Chasing Client Documents

  • Deleting/Cleaning up Sync Folders

  • Vocational Consultant Swaps

  • Checking Junk Mail Folder

  • Check website, fax, phone and test submission forms

  • Obtaining any third-party sign offs or other matter required to finalise the report provision process;

  • Training and providing induction for new customer service administrators

  • Any other matter required to provide a report of the required quality to the client within the required timeframe.

  • Perform administrative duties associated with the completion of client referrals and general administrative duties

  • Compliance with all systems and standards in place from time to time, and may include liaising with: clients, experts, consultants, other staff members including Expert Searchers, Case Officers and Corporate Service Officers, and with third parties (such as employers, nominated treating doctors, rehabilitation providers, claimants, other parties) to achieve the completion of referrals in required timeframes




Requirements





    Requirements:
  • Higher School Certificate and/or extensive relevant work experience; Graduate Diploma;

  • Degree in Office Administration/Management or similar field with some work experience;

  • Customer service experience

  • Good written and verbal English language skills in order to communicate with clients

  • Well-developed interpersonal and communication skills.

  • Problem solving skills

  • Initiative and a ‘can do’ attitude

  • Ability to manage deadlines and prioritise work.

  • Advanced information technology skills, including the ability to use matter management software and standard Microsoft applications, and strong typing and formatting skills.

  • Ability to undertake research tasks.

  • Ability to multi-task across an enterprise.

  • Previous experience in: reviewing, editing, preparing reports; medical/medico-legal; rehabilitation; insurance; consulting; recruitment; or legal, would be valuable.




Work Arrangement




  • Work Setup: On-site

  • Work Hours: Monday to Friday, 6:00 am to 3:00 pm, should complete nine 9 hours work, inclusive of one 1 hour lunch break
