Job Description - Administrative Officer

Scheduling & Contractor Coordination:
-Manage daily/weekly schedules for contractors in Australia, ensuring alignment with project timelines.
-Coordinate equipment rentals, including logistics, maintenance, and vendor communication.
Client Relations & Accounts Management:
-Monitor client accounts, resolve inquiries, and maintain strong relationships with Australian clients.
-Oversee Accounts Receivables/Collections, including invoicing, payment tracking, and reconciliation.
Operational Support:
-Assist Australia teams (HealthyClean & TheatreQC) with administrative tasks, reporting, and compliance.
-Maintain accurate records of contracts, equipment, and financial transactions.
Qualifications, Education & Experience:
-Bachelor’s degree in Business Administration, Accounting, or related field.
-Minimum 2–3 years of experience in administrative roles, preferably in facilities management, outsourcing, or international operations.
-Proven experience in accounts receivables, client relations, and cross-border coordination (Australia-Philippines preferred).
Technical Skills:
-Proficiency in Microsoft Office Suite (advanced Excel for AR tracking).
-Familiarity with accounting software (e.g., QuickBooks, Xero) and CRM tools (e.g., Salesforce).
-Experience with project management tools (e.g., Asana, Trello) for scheduling.
Soft Skills & Competencies:
-Exceptional English communication skills (written/verbal) for liaising with Australian clients/teams.
-Strong organizational skills with the ability to prioritize tasks in a fast-paced environment.
-Detail-oriented mindset for accurate record-keeping and compliance.
-Problem-solving skills to address scheduling conflicts or client concerns.
Industry Knowledge:
-Understanding of outsourcing operations and Australian business practices.
-Basic knowledge of equipment rental logistics and maintenance protocols.
Personal Attributes:
-Proactive and adaptable to shifting priorities/time zones (AEST).
-High integrity and confidentiality in handling financial/client data.
-Willingness to work occasional extended hours to align with Australian business hours.
