DUTIES AND RESPONSIBILITIES:
Comprehensive Administrative Support - With the guidance of the immediate
supervisor or requestor, delivering secretarial and administrative services, including
data entry, word processing, producing and organizing documents, handling mail,
filing information, preparing routine reports, responding to inquiries, preparing
orders, researching for vendors, processing of reimbursements, filing purchase
requisitions, preparing and submission of requests to spend, regular inventory
checking and reporting and operating office equipment.
Guest and Employee Experience Coordination (VIP and non-VIP) -
Coordinating with host, obtaining security passes, escorting them in and out,
coordinating w/guests and housekeeping personnel on logistics (meeting link and
invites, attendee details providing address, wifi password,) and ensuring overall
experience for both guests and meeting attendees (arranging refreshments, taking
photos, assisting with connecting to IT equipment).
Vendor Reception - Receiving and relaying messages, responding to inquiries,
providing logistical support for vendors including but not limited to providers of
carpet and upholstery cleaning, ordering of fruits, scent machine installation and
maintenance, delivery of office supplies, bereavement flowers, employee treats,
signages and stickers, furniture, pantry provisions, pest control activities,
decorations, and equipment maintenance.
Facilities & Asset Maintenance - Assist and coordinate in areas relating to
maintaining the organization's facilities, assets, and grounds, ensuring all are clean,
operational, and in good condition. Includes scheduling repairs, following-up with
open tickets and escalating as needed, visiting other STT GDC Philippines sites
and coordinating with service providers as needed.
Assistance with Facilities Reservations - Includes checking for facilities bookings
and ensuring preparedness through housekeeping personnel and calendar entries.
This includes the use of conference rooms, events areas, physical items, sports and
health facilities and other related assets.
Event Assistance and Coordination - Assisting with and coordinating events
including but not limited to ordering of food and needed items, checking supplies
inventory, documentation, sending out invites, coordinating with tech team and
housekeeping, travelling to events venues.
QUALIFICATIONS:
● Experience in providing comprehensive administrative or secretarial support, including data entry, filing, and report preparation.
● Proven track record in guest relations or hospitality, specifically coordinating logistics for both VIP and non-VIP visitors.
● Experience in vendor coordination, including handling service providers for office maintenance, pantry provisions, and equipment.
● Background in travel coordination, including researching flights, accommodations, and processing reimbursements.
