1. Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents for senior staff;
2. Arrange travel and accommodations for executives/ General Manager;
3. Schedules and attends meetings (Management Committee Meeting), taking notes and recording minutes;
4. Receives incoming communication or memos on behalf of the Executive Department, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff;
5. Performs office tasks including maintaining records, ordering supplies;
6. Managing multiple or complex calendars for meetings, travel, and personal commitments of the General Manager;
7. Handle sensitive and confidential information with discretion;
8. Conduct research, gather data, and provide support as required by the immediate superior;
9. Formulate reports, presentations, and other documents as per instruction of the Chief Finance Officer;
10. Ensure a clean and organized workspace;
Performs additional duties as assigned by executives/Chief Finance Officer;
11. Work closely with the Purchasing Officer to ensure timely acquisition of materials while maintaining cost-effectiveness and quality standards;
12. Communicate effectively with vendors and internal stakeholders;
13. Assist in the procurement process from requisition to delivery, ensuring compliance with company policies and procedures;
14. Generate purchase orders accurately and promptly, verifying specifications, quantities, and pricing;
15. Communicate with vendors to obtain quotes, negotiate prices, and resolve any issues related to orders;
16. Maintain and update purchasing records, including supplier information, pricing, and delivery schedules;
17. Monitor inventory levels and collaborate with the Warehouse in charge to avoid shortages or overstock situations;
18. Coordinate with various departments to identify their purchasing needs and prioritize orders accordingly;
19. Conduct market research to identify potential suppliers and evaluate their reliability, quality, and pricing;
20. Assist in the implementation of cost-saving initiatives and process improvements within the purchasing function;
21. Prepare reports and presentations on purchasing activities, budget utilization, and vendor performance;
Support the purchasing officer and team members in ad hoc tasks and projects as needed

Pay: Php12,000.00 - Php13,000.00 per month
