Aprio is seeking a highly organized, proactive, and responsive Executive Assistant to support our Learning & Development (L&D) team.
The ideal candidate is an organized, detail-oriented professional with experience supporting senior leaders. They excel at managing calendars, coordinating meetings, and handling confidential information with discretion. Comfortable working in a fast-paced environment, they balance multiple priorities while maintaining accuracy and follow-through. Above all, this person is a reliable, resourceful partner who communicates clearly and takes initiative to keep operations running smoothly.
The L&D Executive Assistant reports directly to the Chief Learning Officer.
Position Responsibilities:
Manage complex calendars and schedule a high volume of meetings, ensuring alignment across multiple senior stakeholders, practices, and time zones.
Manage meeting logistics including room reservations, agendas, and invites.
Ensure meeting agendas are logistically sequenced while avoiding scheduling conflicts (e.g., meetings too close to offsite events or travel) and confirm all participants have necessary access, materials, and logistical details in advance.
Liaise with external and internal Aprio team members to align schedules and priorities.
Coordinate detailed travel arrangements and accommodations, anticipating needs and managing time-sensitive changes efficiently.
Prepare, maintain, and distribute meeting materials, communications, and agendas to keep stakeholders informed and aligned on priorities and upcoming events.
Uphold a high level of professionalism, confidentiality, and discretion in handling sensitive information and executive communications.
Collaborate with the Chief Learning Officer (CLO) to organize and prepare for the monthly departmental meetings, including agenda development, material distribution, and logistical coordination to ensure meetings run smoothly and objectives are met.
Coordinate with the learning leads to update the L&D Monthly Report, ensuring all required data is gathered, organized, and submitted on time to relevant stakeholders.
Work with Legal, Finance and IT in securing new vendor contracts for L&D.
Support L&D leadership with administrative tasks as needed.
Qualifications:
Amenable to work night shift (8:00 PM – 5:00 AM)
3+ Strong customer service skills, preferably demonstrated through work with senior stakeholders and managing time-sensitive tasks.
Experience navigating meeting logistics effectively, demonstrating strong situational awareness and understanding of meeting flow.
Strong interpersonal and communication skills, both written and verbal, with a high degree of accuracy and professionalism when engaging with senior stakeholders.
Exceptional attention to detail and organizational skills.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Associate’s degree or equivalent business or related field
