As a back office specialist in a shipping & logistics account, your role is essential in supporting the operational activities of the organization, ensuring compliance with regulations, and contributing to the efficient and effective management of the supply chain.

Job Description:

  • Handle the processing, verification, and management of shipping and logistics documentation, including invoices, bills of lading, customs documents, and other relevant paperwork.
  • Ensure accuracy and completeness of documentation to facilitate smooth cargo movement and compliance with regulatory requirements.
  • Input data into databases, spreadsheets, or other software systems accurately and efficiently.
  • Maintain organized and up-to-date records of shipments, inventory, transactions, and other relevant information.
  • Assist in processing orders, coordinating shipments, and tracking the movement of goods from origin to destination.
  • Communicate with carriers, suppliers, and customers to confirm shipment details, resolve discrepancies, and provide status updates as needed.
  • Generate invoices, reconcile billing statements, and process payments for services rendered.
  • Verify billing information, rates, and charges to ensure accuracy and compliance with contractual agreements.
  • Respond to customer inquiries, requests, and complaints in a timely and professional manner.
  • Provide assistance and information regarding shipment status, delivery schedules, and logistical issues to internal and external stakeholders.
  • Stay informed about shipping regulations, trade policies, and customs procedures relevant to the industry.
  • Ensure compliance with international shipping laws, import/export regulations, and security protocols.
  • identify and resolve operational issues, discrepancies, and challenges related to shipping, logistics, and administrative processes.
  • Collaborate with team members and other departments to implement effective solutions and prevent the recurrence of problems.
  • Participate in process improvement initiatives to streamline workflows, enhance efficiency, and reduce costs.
  • Identify opportunities for automation, digitization, or outsourcing to improve back-office operations.
  • Collaborate with colleagues in other departments such as procurement, warehouse management, and transportation to coordinate activities and achieve common objectives.
  • Communicate effectively with external partners, including carriers, customs brokers, vendors, and regulatory agencies.

Qualifications:

  • College Graduate of accounting, Finance or Marketing courses with NO BPO experience
  • College Undergraduate with at least 3 months data entry, shipping and logistic experience
  • Amenable to work on-site with shifting schedule at Bridgetowne, Libis.
