Compensation: $1200


Remote: Philippines-Based Independent Contractor

Schedule: Full-time (U.S. business hours preferred)

We are a Canadian-based private equity firm with a portfolio of over 50 small to mid-sized companies across North America, Europe, and the UK. This number continues to grow as we acquire new businesses.



Role Summary

The Remote Bookkeeper / Accounting Specialist will support the finance and accounting team with accounts payable, reconciliations, expense reporting, credit card administration, bookkeeping, month-end close, and financial reporting support across multiple companies.


This person must be highly accurate, organized, and comfortable working with multiple entities, different accounting workflows, and recurring deadlines. The ideal candidate has strong QuickBooks Online and QuickBooks Desktop experience, understands proper coding of expenses and invoices, and can support both day-to-day bookkeeping and higher-level reporting requirements.

The role requires someone who can work independently, communicate clearly with internal stakeholders, follow approval processes, maintain clean records, and help ensure accounting data is accurate and ready for review by management, external accountants, and tax advisors.

Key Responsibilities


Accounts Payable


-Process accounts payable transactions for multiple entities.


-Review invoices for accuracy, proper documentation, and correct coding.


-Record invoices at the appropriate company, department, account, project, or entity level.


-Obtain the required approvals before payments are processed.


-Help facilitate timely vendor payments while maintaining proper controls.


-Maintain organized AP records, invoice files, and supporting documentation.


-Communicate with internal teams and vendors regarding invoice status, missing information, or payment timing.




Bank, Credit Card, and Account Reconciliations


-Complete monthly reconciliations for all assigned accounts.


-Reconcile bank accounts, brokerage accounts, credit cards, and other balance sheet accounts.


-Investigate and resolve discrepancies in a timely manner.


-Reconcile expense reports and employee/company card transactions.


-Ensure all transactions are properly recorded, matched, and supported.


-Flag unusual transactions, missing receipts, coding concerns, or unresolved reconciling items.




QuickBooks Bookkeeping


-Maintain accurate books in QuickBooks Online and QuickBooks Desktop.


-Record bills, payments, deposits, journal entries, transfers, and other transactions.


-Perform bookkeeping for holding companies and smaller operating companies.


-Support month-end close by ensuring accounts are updated, reconciled, and ready for review.


-Maintain a clean chart of accounts usage and consistent coding practices.


-Assist with intercompany transactions, allocations, and recurring entries where applicable.




Expense Reporting and Concur Administration


-Help implement, maintain, and administer the company’s expense reporting platform, Concur.


-Manage users, employee profiles, permissions, and expense reporting workflows.


-Provide Concur training and support to employees and internal users.


-Review expense reports for completeness, accuracy, receipts, policy compliance, and approval status.


-Serve as a point of contact for Concur-related questions and coordination with external accountants or support teams.


-Help improve expense reporting processes, documentation, and user adoption.




AMEX and Corporate Credit Card Administration


-Administer and manage AMEX user profiles and company credit cards.


-Assist with setting up, updating, or deactivating cardholder profiles.


-Track card transactions and ensure proper documentation is collected.


-Coordinate with cardholders regarding missing receipts or coding questions.


-Help reconcile AMEX statements and ensure transactions are recorded accurately.




Month-End Close and Financial Reporting Support


-Assist with month-end closing procedures for assigned companies.


-Prepare reconciliations, supporting schedules, and bookkeeping reports.


-Assist with financial reporting and management reporting as needed.


-Help prepare quarterly and year-end reports.


-Support the finance team with ad hoc reporting requests.


-Work with operations, accounting, treasury, or M&A teams on required financial reports.


-Help consolidate company-level information for revenue, cash flow, or other reporting needs.




Cash Flow, Revenue, and Operational Reporting


-Assist in preparing revenue and cash flow forecasts based on information from multiple companies.


-Gather and organize reporting inputs from various operating companies.


-Help maintain schedules used for cash flow tracking, forecasting, and management review.


-Identify missing information, unusual movements, or items requiring follow-up.


-Support reporting needs related to acquisitions, operations, treasury, or portfolio company oversight.




Tax Season and Compliance Support


-Assist with tax-season preparation tasks.


-Help gather documentation and organize schedules for external accountants.


-Support preparation of Canadian information slips and related reporting, including T3, T4A, and T5 filings.


-Maintain accurate records to support year-end accounting and tax compliance.


-Respond to documentation requests from internal finance leaders or external accountants.

Qualifications




-3+ years of bookkeeping, accounting assistant, AP, or full-cycle accounting experience.


-Strong experience with QuickBooks Online.


-Strong experience with QuickBooks Desktop.


-Experience processing accounts payable and reconciling accounts.


-Experience supporting month-end close.


-Strong understanding of bank, credit card, and balance sheet reconciliations.


-Ability to work across multiple entities or companies.


-Strong Excel or Google Sheets skills.


-High attention to detail and accuracy.


-Strong written and verbal English communication skills.


-Ability to work independently in a remote environment.


-Comfortable working with confidential financial information.


-Able to follow approval workflows, internal controls, and documentation requirements.




Preferred


-Experience supporting a private equity firm, holding company, family office, investment firm, or multi-entity business.


-Experience with Concur or other expense reporting platforms.


-Experience administering corporate credit cards or AMEX accounts.


-Exposure to Canadian accounting, tax slips, or year-end filings.


-Experience working with external accountants or tax advisors.


-Experience supporting treasury, cash flow reporting, or management reporting.


-Experience with brokerage account reconciliations.


-Familiarity with intercompany transactions and multiple-company bookkeeping.


-Experience working with North American companies, especially Canadian businesses.

Ideal Candidate Profile


This role is ideal for a detail-oriented bookkeeper or accounting specialist who is comfortable working across several companies, managing recurring accounting tasks, reconciling accounts, supporting month-end close, and assisting with reporting, treasury, expense management, and tax-season preparation.


This role is best suited for someone who has handled bookkeeping for multiple entities, worked with QuickBooks Online and QuickBooks Desktop, managed AP and reconciliations, and supported month-end close or reporting for a growing company.
