Job Description - BPO - US Administrative Coordinator/VA (Hybrid Setup)



With businesses moving better toward cost-efficiency, remote workers such as virtual assistants (VAs) are in high demand. Helping business leaders organize meetings, schedules, and events makes VAs invaluable in keeping daily operations smooth. VAs essentially become the central point where vital information flows.

How You Spend Your Eight Hours


  • Maintain and update Outlook calendar, schedule appointments, coordinate meeting times between multiple parties, and adjust meetings as needed

  • Review incoming emails, categorize them into “trash,” “urgent,” and “read later” and respond to emails as directed

  • Help block time on the calendar between calls to ensure efficient time use

  • Book travel arrangements, including flights, accommodations, and transportation as required

  • Organize and store meeting recordings; assist in preparing meeting agendas and minutes if needed

  • Send reminders about urgent tasks and deadlines

  • Assist in planning and organizing virtual events, including coordinating with participants and managing event logistics



What You Must Possess


  • Proven experience as a virtual assistant, administrative assistant, or similar roles

  • Proficiency in Microsoft Office Suite, especially Outlook

  • Excellent written and verbal communication skills

  • Excellent organizational and time management skills

  • Ability to handle multiple tasks without losing attention to detail

  • Experience in managing and organizing digital files

  • Ability to work independently and remotely
