Job Description - Business Support Virtual Assistant

Position Title: BUSINESS SUPPORT VA – ADMIN, HR, ACCOUNTS AND MARKETING
Work Set-up: Hybrid
Salary: 50 to 70k (2 to 3 years' experience)
Schedule: 7 am to 4 pm PH time
Holidays: Australian Holidays


Boomering is looking for a highly organised, proactive, and tech-savvy Business Support Virtual Assistant to support a growing Australian business and its maintenance division, PeakCPM. This role is ideal for someone who enjoys working across multiple business functions including administration, HR, payroll, accounts, marketing, and process improvement.

As a key member of the team, you will work closely with the Administration Manager and leadership team to ensure smooth day-to-day operations, maintain accurate records, support employee lifecycle processes, assist with payroll and accounts administration, and help improve business efficiency through technology and AI-powered solutions.

As a Business Support VA – Admin, HR, Accounts and Marketing


You will play a vital role in supporting the business across several operational functions. Success in this role requires exceptional attention to detail, strong organisational skills, a high level of professionalism, and the ability to manage confidential information with discretion.

You will be comfortable working independently, managing competing priorities, and leveraging technology to streamline processes and improve efficiency. The ideal candidate is eager to learn, adaptable to change, and confident using modern business tools and AI platforms.

Your Responsibilities as a Business Support VA would be:

Administrative Support

  • Provide administrative assistance to the Administration Manager and broader team.
  • Prepare, update, and maintain documents, reports, spreadsheets, registers, and templates.
  • Manage calendars, meetings, inboxes, and follow-up activities.
  • Maintain organised digital filing systems and document repositories.
  • Prepare business correspondence, forms, checklists, and internal communications.
  • Track action items and ensure timely completion of assigned tasks.
  • Support client administration requirements for PeakCPM.
  • Assist with data entry, reporting, and general business coordination activities.

Human Resources Support

  • Assist with employee onboarding and offboarding activities.
  • Maintain employee records, contracts, position descriptions, and HR documentation.
  • Support recruitment administration including job advertisements, candidate screening, and interview coordination.
  • Manage induction documentation, training records, and compliance registers.
  • Assist with leave tracking, attendance monitoring, and employee file management.
  • Contribute to HR process improvements and documentation updates.
  • Handle confidential employee information professionally and securely.

Payroll Support

  • Assist with timesheet collection, validation, and follow-up.
  • Support payroll preparation by collating leave records and payroll-related information.
  • Maintain payroll records and employee data.
  • Assist in gathering information for payroll-related queries.
  • Support payroll compliance processes and deadlines.

Accounts Support

  • Assist with accounts payable and accounts receivable administration.
  • Organise invoices, receipts, purchase orders, and payment documentation.
  • Support expense tracking and reconciliation activities.
  • Follow up outstanding invoices and missing documentation.
  • Maintain accurate financial spreadsheets and reporting records.
  • Assist with billing preparation and financial administration for PeakCPM.
  • Ensure accurate filing and maintenance of financial records.

Marketing and Communications Support

  • Assist with marketing administration and content coordination.
  • Support social media scheduling, email campaigns, newsletters, and website updates.
  • Create simple graphics, presentations, and marketing collateral using Canva.
  • Maintain marketing calendars and campaign trackers.
  • Conduct market, competitor, and content research.
  • Support internal and external communication initiatives.
  • Help ensure brand consistency across all business materials.

Technology, AI and Process Improvement

  • Support the implementation of AI tools and workflow automation initiatives.
  • Utilise platforms such as ChatGPT, Microsoft 365, Google Workspace, Canva, Dropbox, GoHighLevel, and JobAdder.
  • Document processes and create standard operating procedures.
  • Identify opportunities to improve efficiency through automation and AI.
  • Assist with testing prompts, templates, and workflow improvements.
  • Support continuous improvement initiatives across administration, HR, payroll, accounts, and marketing functions.


Requirements


Essential Skills and Experience

  • Previous experience as a Virtual Assistant, Administrative Assistant, HR Assistant, Accounts Assistant, or similar role.
  • Experience supporting administration, HR, payroll, or accounts functions.
  • Basic understanding of payroll processes, timesheets, employee records, and invoicing.
  • Excellent written and verbal English communication skills.
  • Strong organisational, multitasking, and time-management skills.
  • High attention to detail and accuracy.
  • Ability to handle confidential information professionally.
  • Strong proficiency with cloud-based business tools, spreadsheets, and document management systems.
  • Comfortable learning and adapting to new technologies and systems.
  • Ability to work independently with minimal supervision.

Preferred Experience

  • Experience supporting Australian businesses.
  • Knowledge of Australian payroll, HR, or accounting processes.
  • Experience using Xero or similar accounting platforms.
  • Familiarity with Canva, CRM systems, and social media management tools.
  • Experience implementing or utilising AI tools and workflow automation solutions.
  • Exposure to construction, maintenance, project management, consulting, or service-based industries.
