Job Description - Communications and Reservations Specialist


Responsibilities





  • Managing the call center, redirecting non-reservation-related calls to the appropriate hotel reception or department, and handling customer phone inquiries, ensuring they are directed to the correct channel.

  • Input accurate reservation bookings into the PMS system for both FIT & Group bookings covering all segments as directed.

  • Manage all aspects of group reservations, including rooming lists, group arrivals, and finalizing details.

  • Handle guest group servicing, including responding to inquiries and managing existing group bookings.

  • Ensure all reservations are accurate and include all special requirements, traces, and remarks to assist hotel operations.

  • When required manage group block space for all segments adhering to follow-up and contracting procedures.

  • Respond promptly to inquiries, deliver quotes and contracts, and maintain professional communication with clients.

  • When required attend group meetings and ensure accurate communication with relevant departments.

  • Maintain organized filing systems for all Group and FIT correspondence.

  • Enroll guests in the hotel loyalty program and complete daily task checks for all hotels.

  • Ensure correct billing details and follow up on inquiries in a professional manner.

  • Demonstrate proficiency in Shiji reservation systems.

  • Conducts arrival checks for each hotel shared within the team.

  • Update voucher bookings and making reservations from the previous day.

  • Ensures seamless collaboration within the Auckland-based Central Reservations team to support the efficient operation of all properties.

  • Adhering to company policies, procedures, and protocols, including data protection regulations and compliance requirements.

  • Other tasks that may be assigned from time to time.




Requirements





  • Preferably with hotel reservations experience.

  • Attention to detail with high level of accuracy.

  • Ability to work under pressure with high volumes of calls and emails.

  • Self-starter with ability to work and minimal supervision.

  • Ideally, experienced in a hotel reservations role, but more so in a call center environment managing volume of calls and emails.

  • Excellent phone and email etiquette.

  • Professional approach with sensitive and demanding guests/clients.

  • Reliable and flexible to the needs of the business.

  • Excellent comprehension of the English language both verbal and written.

  • Good understanding on the processes for Groups and FIT reservations.

  • Ability to multitask in handling both individual and group bookings.

  • Excellent communication skills and follow through with all inquiries to drive booking conversion.

  • Highly collaborative with the team and leaders.




Work Arrangement




  • Work Setup: On-site

  • Work Hours: Night shift, should complete nine (9) hours work
