Crew Travel Officer

JOB DESCRIPTION

1) Purpose of the Position:

The purpose of the position is to support the operations department with the ticketing needs for on signers and off signers for all seafarers of 88 Aces Maritime Services Inc. as well as foreign nationalities of the vessels if needed.  

2) Position Summary:

The Crew Travel Officer is responsible for applying all seafarers travel ticket requirements as required by the principal and continuous monitoring of the travel security updates for the joining and off signing crew as per required by the International and National Regulatory requirements to comply to ensure safe and timely travel of seafarers to and from the vessel.

In the absence of one Crew Travel Officer, the remaining Crew Travel Officer shall take over all task related with the process.

3) Qualifications:

1. Must be a graduate of any 4-year degree course.


2. Must have an extensive experience in crew manning or Shipmanagement for a minimum of 2 years holding a similar position or its equivalent.


3. Must have knowledge and understanding of Air tickets arrangements.

4) Core Job Functions:   

1. The Crew Travel Officer coordinates with company’s and/or Principal’s travel agents for ticketing arrangements of on/off signing crew.


2. The Crew Travel Officer prepares/requests/collects all necessary travel documents for crew to join the vessel (invitation letter, OEC, visa arrangements, “OK to Board” etc.) coordinates with respective Jr. Fleet Managers, Fleet Manager or Operations Manager.


3. The Crew Travel Officer follows up communication with Port Agents regarding on/off signers’ transportation arrangements.


4. The Crew Travel Officer monitors each transportation sequence and reports accordingly to all parties involved (vessel, principal’s PIC, operations department)


5. The Crew Travel Officer coordinates with company’s travel agent for ticketing arrangements of office staff.


6. The Crew Travel Officer prepares/requests/collects all necessary travel documents and communicate to the respective Fleet the needed documents.


7. The Crew Travel Officer   keep records for all tickets issued/cancelled and reports same when requested.


8. The Crew Travel Officer checks the invoices from the travel agents, visa agents and reports same to his/her supervisor.


9. The Crew Travel Officer is responsible to update the OWMS of POEA to confirm embarkation and disembarkation.


10. Responsible in always updating the Database System.


11. The Crew Travel Officer communicate and coordinate with the Operations and Legal Assistant for the medical repatriated crew for its flight details for preparation to attend for seafarer’s medical attendance.  


12. Responsible for updating the company. joining and embarking crew on the latest Travel Security regulations and guidelines for all Countries especially during this Pandemic and any Emergency Press release from respective Countries.


13. Responsible to the quality of her work.

5) Core Competencies

1. Excellent in verbal and written communication skills.


2. Must have the ability to supervise, coordinate and organize task.


3. Must have a good knowledge of office software and applications.

6) Significant Factors:

Must have a good knowledge and equipped in coordination in securing all updates of international and national travel security requirements in various Port and Countries.
