Job Description - Customer Service Logistics Coordinator

Key Responsibilities:

Customer Service Duties
  • Communicate with the customer mainly by emails
  • Manage large volume of emails on a daily basis - customer updating, appointment scheduling
  • Update customer web portals including order acceptance, appointment scheduling, tracking updates, order closing, and accessorial billing
  • Use of Google Sheets in conjunction with our TMW management system to quickly collate data for reporting purposes
Trimble / TMW Platform Duties
  • Accept EDI load tenders in Trimble / TWM
  • Create manual orders in Trimble / TMW
  • Update manual and EDI orders as needed with appointments and relevant trip notes including carrier trip instructions and trip issues for OTP reports (service failures, customer changes, etc.)
  • Ensure orders are correctly rated for linehaul and accessorial changes
  • Communicate and seek approval from customers for accessorial charges as soon as they are identified
  • Ensure that approved accessorial charges are entered in Trimble / TMW for the billing process
  • Scan all related documents to support accessorial charges
Coordinator Duties
  • Source carrier for loads including terminal moves and other asset moves
  • Negotiate carrier rates
  • Carrier setup in RMIS and carrier maintenance
  • Carrier dispatching
Tracking Duties
  • Track Road and intermodal loads for the brokerage division (TX Logistics) from Wednesday through Sunday (pickup through to final delivery)
  • Tracking is done via phone and emails
  • Tracking updates are inputted into ERP (Trimble TMW)
  • Liaison with the Logistics coordinators, CSRs and managers throughout the life of the order with regards to any issues that may arise







Requirements

Job Requirements and Credentials:


Essential (MUST HAVE)

·        College degree

·        2 -3 years experience in applied
customer service experience

·        Proficient in Microsoft Excel,
PowerPoint and Google Gmail

·        Capable of analyzing data to
make sound decisions on suitability and effectiveness of corrective and
preventive actions

·        Knowledge of data extraction
and analysis techniques

·        Detail orientated
