Job Description - Event Marketing Operations Specialist

SUMMARY

The Event Marketing Operations Specialist reports to the Director of Event Marketing. This position owns core operational components of RealPage’s demand generation event marketing efforts across memberships and customer sponsorships, along with supporting the team with financial administration activities spanning across vendors and internal processes. We are seeking a detail-oriented, operations-minded, fiscally responsible and collaborative individual to join our experienced team of event marketers.

PRIMARY RESPONSIBILITIES

  • Own RealPage’s membership program with 3rd party industry associations
  • Manage end-to-end execution of annual membership contracts with 75-85 associations each year, including direct communications and negotiation with the associations and end-to-end management of internal procurement processes.
  • Collaborate with Sales stakeholders and segment marketers to evaluate and validate the ongoing investment in each membership.
  • Manage processes to terminate memberships and evaluate new memberships as needed / requested.
  • Manage all association memberships and their unique benefits and the access rights to any associations’ digital portal or website.
  • Support RealPage’s Sales team in the on-site execution of our paid investment in 60-70 customer events across a given year.
  • Field incoming requests from the Sales team on an ad hoc basis.
  • Collaborate with the Sales requestor on the specific needs for each on-site event and manage the end-to-end process with our exhibit house vendor to ship all materials to and from customer-designated event site.
  • Proactively manage the inventory of materials required for these customer sponsorship events with our exhibit house vendor.
  • Proactively manage the internal procurement processes for all services rendered by our exhibit house vendor as related to these customer sponsorships.
  • Support team members with financial administration activities spanning across vendors and internal processes.
  • Manage internal procurement processes for services rendered by event vendors.
  • QUALIFICATIONS 

    Required:

  • 3 years’ operations-oriented experience
  • Demonstrated success in delivering upon a core set of responsibilities
  • Experience with internal and external Procurement and Finance teams to manage the contract through payment processes.
  • Experience managing basic vendor relationships.
  • Experience supporting set-up of materials for simple events.
  • KNOWLEDGE/SKILLS/ABILITIES

    Required:

  • Proficient utilization of various technologies and software (Excel, Adobe, Power Point, Word).
  • Data-driven, with strong analytical skills and reporting capabilities.
  • Highly organized work processes and prioritization abilities, staying on top of multiple requests, develop standard processes, document, and track, manage Pos and invoices, etc. 
  • Meticulous attention to detail.
  • High levels of integrity, autonomy, relationship-building and self-motivation.
  • Adaptability, flexibility, and ability to operate with poise under pressure.
  • Customer service oriented.
  • Strong writing and verbal communications skills for interacting with stakeholders.
  • Physical Demands and Working Conditions

    While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must have the ability to operate a personal computer and express or exchange ideas by means of the spoken word. May be required to sit and/or stand for long periods of time. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. May be required to lift or move 10+ pounds.
