Job Description - Events Purchasing and Logistics Officer

Strategic Purchasing & Logistics Officer oversee purchasing activities and ensure that purchased items are both cost-efficient and high-quality. Additionally, should be able to negotiate well and ensure that all purchases comply with the company's standard. Strategic Purchasing & Logistics Officer will also lead and manage all aspects of post-booking stage of event planning and execution. This includes coordinating all events with partner supplier/vendor/3rd party agency related services including event management, logistic operations, set-up, equipment service, and production logistics. Responsibilities

  • Preparing plans for the purchase of equipment, services, and supplies
  • Creating purchasing orders and procuring company goods and services based on the approved budget
  • Assist in planning and executing event-related expenses and budgets.
  • Maintain and develop relationships with event support vendors/suppliers and rental houses that provide services for event-related activities.
  • Researching and communicating with potential vendors and suppliers to find the best goods and services for the company
  • Monitoring Records and updating internal databases with order details (vendors, services, contact, terms etc.)
  • Reviews Service contracts prior Service Provider agreement and awarding.
  • Ensure that all purchasing requests are processed and served as scheduled.
  • Ensure that all deliveries are with Received status
  • All other tasks that may be assigned by the Management depending on the exigencies of the organization.

  • Receipt and quality inspection of all purchases
  • Supplier performance assessments and evaluations
  • With at least 3 years of experience in an event agency or TV production environment.
  • Knowledgeable in costing/rate card.
  • Excellent analytical, problem solving and organizational skills.
  • Good communication and presentation skills.
  • Ability to work independently and handle multiple projects.
  • Demonstrable ability to lead and manage staff.
  • Knowledgeable with contract and vendor management.
  • Experience or exposure to Media or Creative productions is an added bonus.
