Job Description - Executive Assistant

Filinvest Hospitality: Quest Plus Conference Center Manila

The Executive Assistant to the Hotel Manager provides high-level administrative and operational support to ensure the seamless day-to-day functioning of the hotel's executive office. This role plays a critical part in coordinating communications, managing priorities, and supporting key business initiatives while maintaining the highest level of professionalism and confidentiality.

Key Responsibilities

  • Curate and manage the Hotel Manager's calendar, appointments, and correspondence with a high level of discretion and efficiency
  • Coordinate executive meetings, prepare detailed agendas, and document minutes with accuracy and professionalism
  • Prepare polished reports, presentations, and business documents to support strategic decision-making
  • Maintain impeccable organization of records and safeguard all confidential information with utmost integrity
  • Act as a liaison between the executive office, departments, and external partners to ensure seamless communication
  • Support the execution of high-level events, initiatives, and special projects aligned with the hotel's objectives
  • Uphold exceptional guest service standards by assisting in VIP arrangements and fostering a culture of excellence across teams

Qualifications

  • Bachelor's degree in Business Administration, Hospitality Management, or a related field
  • 1–2 years of administrative or office support experience, preferably in a hotel or service-oriented environment
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant office systems
  • Excellent organizational and time management skills with the ability to handle multiple priorities with precision
  • Strong written and verbal communication skills with a professional and polished demeanor
  • High level of discretion and integrity in handling confidential and sensitive information
  • Detail-oriented, proactive, and able to work independently in a fast-paced, high-standard environment
  • Willingness to work in Muntinlupa City
