Position Title: Executive Assistant Work Set-up: Hybrid Salary: 30 to 50K Schedule: 6:30 am to 3 pm PH time Holidays: Australian Holidays
As an Executive Assistant, you will play a critical role in ensuring seamless day-to-day operations, managing executive priorities, and providing high-level administrative support while maintaining the utmost professionalism and confidentiality.
Your Responsibilities as an Executive Assistant Would Be:
Independently perform a full range of complex, sensitive, highly responsible, and confidential administrative, secretarial, clerical, and program support functions.
Plan, prioritize, and organize work activities while identifying opportunities to improve workflows, procedures, and systems.
Accurately record meeting minutes and ensure proper documentation of key discussions, decisions, and action items.
Manage and maintain CRM systems, databases, specialized files, and records to ensure accuracy and accessibility.
Utilize various software applications including CRM platforms, Microsoft Office Suite, Google Workspace, spreadsheets, databases, and presentation tools.
Coordinate and manage the Executive's calendar, meetings, appointments, and key events.
Arrange travel logistics, accommodations, conference registrations, and related itineraries.
Respond professionally, tactfully, and efficiently to inquiries and communications.
Exercise exceptional judgment and discretion when handling sensitive information, records, contracts, and reports.
Proofread, review, verify, and prepare documents, contracts, reports, and materials for executive approval and signature.
Maintain accurate records and filing systems in accordance with established standards and procedures.
Support LinkedIn content management through regular social media posting and engagement activities.
Assist with basic lead generation efforts using LinkedIn and Sales Navigator.
Collaborate effectively with internal and external stakeholders to support business objectives.
Perform other related duties and special projects as assigned.
Qualifications as an Executive Assistant:
Graduate of any Bachelor's Degree.
Minimum of 2 years of experience as an Executive Assistant or in a similar administrative support role.
At least 2 years of hands-on experience using office management systems, CRM software, and other business applications.
Proficient in Microsoft Office applications including Word, Excel, Outlook, OneDrive, and Microsoft Teams.
Experienced with Google Workspace applications including Gmail and Google Calendar.
Familiarity with LinkedIn and Sales Navigator for social media management and lead generation activities.
Basic Canva skills for creating and managing social media content.
Excellent verbal and written communication skills.
Highly proficient with technology, online collaboration tools, cloud-based systems, and digital workflows.
Strong understanding of office administration principles and best practices.
Proven ability to maintain confidentiality and exercise discretion with sensitive company information.
Exceptional critical thinking, resourcefulness, attention to detail, and problem-solving abilities.
Highly organized with the ability to work independently and manage multiple priorities effectively.
Outstanding time management and organizational skills.
Advanced business communication, business writing, and report preparation skills.
Strong knowledge of records management principles, filing systems, and administrative procedures.
