Job Summary:  

We are seeking a detail-oriented and proactive Virtual Assistant to join our team. The ideal candidate will assist in various administrative and operational tasks, ensuring the smooth execution of events and providing excellent support to our Managing Director, clients, and internal team. 

Key Responsibilities:  

Administrative Support:  

  • Email management with prompt action taken. 
  • Diary and schedule organisation. 
  • Management of business subscriptions.
  • Transcription of meeting agendas, minutes, and action items
  • Assist the Managing Director to prepare, edit, and distribute documents, presentations, and reports as required
  • Task Management: Monitor and follow up on action items, ensuring tasks are completed timely and to a high standard.
  • Monitoring and cleaning up of file Executive/HR file management system
  • Handling of personal admin related tasks for Managing Director
  • Schedule and coordinate meetings, appointments, and travel arrangements
  • Client communication and liaison management, including management of a Client Relationship Management (CRM) system. 

Financial Tasks:  

  • Assist with Managing Director’s expense tracking, and budget management
  • Assist with client invoicing
  • Coordinate with the finance team to ensure timely payments and financial reporting. 

 

Internal Event Coordination:  

  • Assist in the planning and execution of internal company events such as training days/team days etc, including logistics, vendor coordination, and timelines. 
  • Prepare and distribute event materials such as invitations, agendas, and follow-up emails. 
  • Coordinate with vendors, venues, and other stakeholders to ensure seamless event execution. 

 

CRM/Marketing:  

  • Assist the Managing Director to prepare for marketing and trade show events including presentation preparation
  • Marketing and Social Media: 
    • Assist in managing social media accounts, creating content, and scheduling posts. 
    • Help with the creation and distribution of marketing materials such as newsletters and promotional emails. 
    • Monitor and report on social media and marketing campaign performance. 
  • Provide exceptional customer service to clients, addressing their needs and concerns. 

Qualifications

Experience:  

  • Previous experience as a Virtual Assistant or in an administrative role, preferably in the event management industry. 
  • Minimum of 4 years’ experience as a Virtual Assistant/Executive Assistant or any similar role.
  • Experienced working with C-level executives.
  • Experience or knowledge of event planning is highly desirable but not required

Skills:  

  • Excellent organizational and time management skills. 
  • Strong written and verbal communication abilities. 
  • Proficiency in Microsoft Office Suite/MS365 (Word, Excel, PowerPoint and SharePoint)
  • Familiarity with CRM software and project management tools (e.g Hubspot and Monday.com). 
  • Proficiency with Xero
  • Basic knowledge of social media platforms and digital marketing tools.
