Job Description - Executive Assistant (Central Support)

Key responsibilities & accountabilities

  • Diary management for CEO, CFO and Managing Director
  • Managing travel arrangements including flights and accommodation
  • Arranging detailed business trip schedules
  • Providing high-level executive and administrative support
  • Preparing documentation for internal workshops and presentations
  • Coordinating requests for information from internal and external stakeholders and providing a professional first point of contact for all enquiries
  • Managing complex and changing diaries, including scheduling, negotiating appointments and meetings and organising associated and supporting documentation
  • Coordinating effective meetings by organising and collating meeting agendas, providing confidential minute taking and coordinating follow up actions
  • Preparing correspondence and/or briefing packs, reports and presentations
  • Maintaining confidence and protecting operations by keeping information confidential
  • Keeping records of customer interactions, processing and filing documents
  • Compiling weekly/monthly reports on overall customer satisfaction
  • Completion of adhoc requests
  • Managing large amounts of incoming calls and emails to Chatime Central Support and the Executive team

Key Selection Criteria

  • Previous experience as a Personal Assistant or Executive Assistant.
  • Excellent written and verbal communication skills
  • Excellent communication skills with the confidence to liaise at an executive level
  • Typing 30-40 words per minute
  • Proactive, creative approach to problem solving
  • Strong project management and organisational skills
  • Strong attention to detail
  • The ability to manage time and prioritise the work load
  • Strong proficiency in Microsoft Office suite: Power point, Excel, Word
