Job Description - Executive Assistant - Events/Programs/Logistics

Job Type: Full Time

Work Setup: Hybrid

Work Schedule: Monday – Friday; 09:00 AM – 06:00 PM PH Time Zone

Holidays to follow: Philippines

Salary Budget: Php 40,000.00 – 50,000.00 gross salary package

QUALIFICATIONS:

  • Bachelor's degree required.
  • Minimum of 2-3 years' work experience, preferably in a customer facing role.
  • Hospitality or event management experience is a plus.
  • Strong oral and written communication skills.
  • Naturally curious and a quick, agile learner.
  • Sociable and service oriented.
  • Strong time management skills and able to manage multiple, competing priorities in a dynamic environment.
  • Strong team orientation.
  • Outstanding organizational skills and attention to detail.
  • Ability to handle adverse and unexpected situations in a composed and professional manner.
  • Ability to adapt to and initiate change in a fast pace & agile environment.
  • Working knowledge of MS Office products.

RESPONSIBILTIES:

A. Member Engagement Support:

  • In partnership with the Council Relations Executive (CRE), proactively ensure that each member fully participates in their Council, leveraging the value of each council seat.
  • In collaboration with CRE and Program Directors, develop a plan for how TCB will connect content and other resources to address Members' business needs.
  • Working with your Program Director and CRE, ensure all written communication to Members (meeting agendas, etc.) are well written, high quality and engaging.
  • Analyze Member feedback from Council meetings and work proactively with your Program Director and CRE to continuously improve the Member experience.
  • Working with the Program Director and CRE, ensure Council discussion highlights are captured and shared with Members as Highlights.
  • Working with the CRE, ensure meeting evaluation feedback is addressed and incorporated into future meeting planning.
  • Attend Council meetings on-site, other meetings as needed.

B. Member Retention Support:

  • Track engagement and retention metrics in the CRM (Sugar) to ensure accurate information related to Members that are: at risk, new, replacement, Center affiliates, previous Members.
  • Proactively identify at-risk Members and work with Program Director and CRE to execute a retention or replacement plan.
  • Report Member engagement, attendance, and retention data using TCB systems.

C. Meeting Operations:

  • Ensure meeting materials meet TCB guidelines, and are reported out to the Members on the appropriate timeline and channel (11/6/1, Communities).
  • In support of the CRE and Program Director, plan and prepare, partnering cross-functionally as necessary, to ensure precise logistics for Council meetings, resulting in a high-quality Member Experience. This includes facility setup and scope, vendor coordination for food, beverages, accommodations, transportation, AV/tech support, materials, and hospitality/entertainment for various meeting formats.
  • Meetings held at a Member's facility.
  • Meetings held at a hotel or other public venue.
  • Meetings held virtually, using remote technology.
  • Hybrid meetings that combine remote and in-person attendance.
  • To secure hotel accommodations (and meeting space when needed), restaurants and/or group activity and ground transportation.
  • Communicate Member problems as they arise with CRE and Program Director, and proactively work to resolve issues.
  • Track attendance and Member feedback.
  • Manage regular cost forecasts.
  • Execute each meeting within budget.
  • Continuously seek opportunities to improve our process and enhance the Member experience.

D. Others:

  • Support the Associate Director in any way necessary to achieve the goals of the department.
  • Other duties as assigned.

  • Accounts Receivable
