Job Description - Executive Assistant (US Real Estate, Home-based Work Setup)

Salary: P60,000 to P70,000 (Monthly Package)

Schedule: Monday – Friday (09:00 AM - 06:00 PM EST)

What are we looking for?

Skills Required:

  • Minimum of 3 years of experience as an executive assistant.
  • Previous experience in property management, leasing, customer service, or a related field is typically preferred. Experience with leasing software and CRM systems may be beneficial.
  • Strong verbal and written communication skills are essential for interacting with tenants, vendors, and team members.
  • Proficiency in HubSpot, Zoho, or ConstantContact CRM software highly preferred.
  • Background in using Appfolio or RentVine
  • Strong organizational skills with meticulous attention to detail.
  • A customer-focused attitude and the ability to address tenant inquiries and concerns in a professional and timely manner are crucial.
  • Accuracy in maintaining lease files, managing work orders, and handling administrative tasks is critical.
  • The ability to quickly identify and resolve issues related to tenant requests, maintenance, and lease agreements is important.
  • Adaptability and a proactive approach to problem-solving.

 

What will you do?

  • Schedule management - maintains calendar/schedule appointments.
  • Communication management - handles email communication on behalf of CEO and prioritizes items needing attention.
  • Lead management - ensures accurate and complete data input to CRM plus follow-up.
  • Project/Initiative Management - prepares information, data, and reports for CEO.
  • Event planning - plans, organizes, and executes on annual event plan.
  • Give Back Program management - organizes, maintains relationships, and executes events/activities.
  • Additional responsibilities include but not limited to:
  • Basic Social Media Management
  • Basic Content Creation for social media.
  • Maintain tenant lease files, email to owner and tenant, and upload to RentVine.
  • Audit insurance from tenants and vendors.
  • Prepare written correspondence to tenants, vendors, etc., as needed for manager review/approval.
  • Maintain and update vendor contact info. Continue to curate new vendors.
  • Check and reply to emails and daily (admin email and personal email).
  • Answer inquiries for rentals, prescreen and schedule showings.
  • Prepare owner management agreements (EPMA’s).
  • Send thank you notes to new owners and realtor referrals.
  • Help with follow up and more follow up.
  • Assist in coordinating tenant move-in / move-out schedules from beginning to end.
  • Coordinate new tenant orientation.
  • Train and retrain tenants on the Tenant Portal work order system as needed.
  • Send tenant 1st-year anniversary cards.
  • Develop tenant satisfaction programs and incentives (Park Points)
  • Track lease expiration.
  • Managing work orders / maintenance.
  • Answer tenant questions and concerns - field appropriately
  • Other task that the management might assign.
