Job Description - Executive Support - Supervisor

The Executive Support Supervisor oversees the day-to-day delivery of administrative and office support services to senior leadership. This role ensures seamless executive assistance, efficient coordination of services (administration, messengerial, and pantry operations), and the adoption of digital tools that enhance productivity and service standards.

Key Responsibilities

  • Provide structured administrative support to high-level executive, ensuring schedules, communications, and logistics are handled with precision and confidentiality.

  • Supervise and manage the performance of Admin Assistants, Messengers, and Pantry Personnel to maintain professional, responsive, and reliable support services.

  • Establish service standards, workflows, and accountability measures for executive and office support functions.

  • Optimize processes using digital tools (e.g., collaboration platforms, scheduling systems, document management, dashboards) to improve efficiency and tracking.

  • Coordinate executive meetings, internal events, and high-priority requests, ensuring smooth execution and attention to detail.

  • Monitor service quality, resource allocation, and turnaround times; implement improvements as needed.

  • Serve as a central point of coordination between executives and support teams, maintaining discretion and professionalism at all times.

  • Uphold a culture of hospitality, responsiveness, and professionalism aligned with executive office expectations.

Qualifications

  • Proven experience supporting senior executives in a corporate environment, preferably in a supervisory or lead capacity.

  • Demonstrated ability to manage multi-functional support teams (administrative, messengerial, and facility-adjacent roles).

  • Highly digital savvy; proficient in productivity and collaboration tools (e.g., MS Office, scheduling platforms, shared workspaces, workflow trackers).

  • Strong organizational and coordination skills with excellent attention to detail.

  • Pleasant, service-oriented personality with the ability to interact confidently with senior stakeholders.

  • High level of discretion, reliability, and professionalism.
