Job overview
Work with operations and other cross functional teams to deliver a wide range of facilities and admin functions. The duty is to primarily ensure readiness and general upkeep of the assigned facilities.
Manages facilities operations including developing, implementing and overseeing a holistic preventative maintenance program.
Key responsibilities and accountabilities
● Ensures that the defined target KRA-KPI of the services such as Housekeeping, Office Supplies, Concessionaire are monitored on a monthly basis and reported to the Facilities and Admin Manager
● Perform daily physical site rounds to ensure that Facilities and Admin processes and standards are adhered to
● Supervises the work of facilities and admin associates; verifies scheduled assignments; monitors timekeeping and attendance and acts on requests for time off; monitors and evaluates employee performance; coordinates and carries out training for new staff and refresher training for existing staff; provides day-to-day guidance on safe work practices in
conformance with the company’s environmental policies and standards.
● Ensure that the Security services are aligned based on the company’s security standard.
● Report and follow up any request and complaints from the end-user to the Building Management Office
● Implement, enforce and make recommendations for house rules, policies, and procedures
● Ensures that the Department's expense tracker is validated and updated
● Contribute to sustainable development initiatives.
● Assist the Facilities and Admin Manager in sourcing and coordinating with different vendors in
providing the cost-benefit analysis and cost comparison for vendors.
● Ensures that all contracts entered with third party Facilities vendors are updated; Monitors vendor performance by auditing third party service providers on the quality of their deliverables
● Assist in the day-to-day activities assigned by the Facilities and Admin Manager
● Monitors fit outs, renovation or construction on existing office spaces as well as sites for future expansion
● Ensures that all facilities equipment undergoes timely Preventive Maintenance
● Create and/or analyse Department Monthly Reports, Office Supplies Utilization report etc.
● Ensures adherence to the Asset Management Policy through record keeping and asset tracking.
● Ensures that proper asset documentations are in place (i.e. gate pass and work permits)
● Responding appropriately to emergencies or urgent issues as they arise.
● Assist in liaising with PEZA and Local Government Unit on statutory requirements.
Qualifications:
● At least 2 years of Facilities Supervisor experience
● Preferably with BPO experience
● Must be a Licensed Engineer either Mechanical or Electrical
● Amenable to work in Eastwood, Quezon City
