JOB TITLE : FINANCE AND ACCOUUNTING ADMIN SPECIALIST

REPORTS TO : CHIEF FINANCE OFFICER/VP-FIN. & ACCRTG.

JOB LEVEL: SENIOR STAFF

DEPARTMENT : ADMINISTRATIVE

SECTION: ADMIN

BASIC FUNCTION:

The Finance and Accounting Admin Specialist is responsible for providing comprehensive support to the CFO/VP-Fin. & Acctg. The position also extend support as Executive Assistant in a one-on-one working relationship with his/her immediate superior. He/She serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the CFO/VP-Fin. & Acctg..

The position requires the ability to anticipate needs of the CFO/VP-Fin. & Acctg., think critically, and project an image with a high level of professionalism and confidentiality. The position requires the ability to work independently on tasks and projects, from conception to completion, and thrive in a multi-faceted role which requires the ability to handle a wide variety of activities and confidential matters with discretion.

PRINCIPAL CONTACTS:

Reports to the CFO/VP-Fin. & Acctg. and coordinates with all Top Management, Department Managers and Business Partners as the job requires.

DUTIES AND RESPONSIBILITIES:

1. Provide a calendar management for the CFO/VP-Fin. & Acctg. Prioritize meetings and appointment schedules to ensure smooth day-to-day engagements.

2. Complete a broad variety of administrative tasks that facilitate the CFO/VP-Fin. & Acctg.’s ability to effectively lead the company, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; and making travel arrangements.

3. Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the office of the CFO/VP-Fin. & Acctg., including those of a highly confidential or critical in nature. Communicates directly, and on behalf of the office of the CFO/VP-Fin. & Acctg, and responds to emails/texts/phone calls outside normal business hours, as needed.

4. Work closely with the CFO/VP-Fin. & Acctg to keep them well informed of upcoming commitments and responsibilities. 6. Coordinate all Top Management Team meetings and assist with other meetings and events as needed.

5. Demonstrate a concierge role, providing a bridge for smooth communication between the CFO/VP-Fin. & Acctg. and team, demonstrating leadership to maintain credibility, trust, and support with the Top Management.

6. Represent the Company and the Office of the CFO/VP-Fin. & Acctg. in a positive light through great follow-through skills and sound judgment. Welcome all guests by greeting them in a professional manner, in person or on the phone; answering or directing inquiries.

KNOWLEDGE, SKILLS, ABILITIES AND CHARACTERISTICS NEEDED:

  • Significant executive support experience, including supporting C-level executives.
  • Expert proficiency with Microsoft Office, Google Email, Google Meet, Zoom and Calendar organizing; ability to design and edit graphic presentations and materials.
  • Excellent verbal and written communication and time management skills; proven ability to meet deadlines.
  • Make appropriate, informed decisions regarding priorities and available time.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, and external partners.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Ability to function well in a high-paced environment and switch gears at a moment’s notice; performs additional duties as assigned by executives.
  • Provide hospitality to all guests and help to create a welcoming environment; provide event management support as requested.

JOB QUALIFICATIONS:

  • Graduate of any four-year course; with MBA units or its equivalent is an advantage but not required
  • Must have experience senior staff or supervisory level and capacity
  • With at least three (3) years work-related experience.

Job Types: Full-time, Permanent

Pay: Php15,000.00 - Php18,000.00 per month

Schedule:

  • Fixed shift

Ability to commute/relocate:

  • Mandaue, Cebu: Reliably commute or planning to relocate before starting work (Required)

Experience:

  • work-related: 3 years (Preferred)

Expected Start Date: 06/01/2024
