Job Description - Finance Operations Assosicate (US Wealth Management, Office- based)

Schedule: Monday - Friday (9:00 PM - 6:00 AM PHT)

What are we looking for?

Skills Required:

  • Highly organized – Able to manage multiple systems, track various inputs, and prioritize effectively.
  • Detail-oriented – Capable of handling large volumes of data in different formats with precision and accuracy.
  • Proactive & solutions-driven – Able to anticipate challenges, take initiative, and propose improvements.
  • Problem solving-oriented – Able to spot and resolve problems effectively.
  • An excellent communicator – Strong written and verbal communication skills.
  • Collaborative – Effectiveness working both independently and in a team structure with a diverse group of people.
  • Tech-savvy – Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams); familiar with accounting, and reporting software; strong Excel skills.

What will you do?

  • Manage our Canoe software platform, which automates the collection, extraction, and processing of alternative investment data.
    • Ensure proper setup of funds, investments, and clients.
    • Approve documents and manage auto-approval functionality to ensure data flows correctly into relevant systems in a timely manner.
    • Serve as the primary contact for support cases and communication with our vendor on issues and issue resolution.
    • Maintain and update index file paths for document storage.
    • Export and upload valuation and transaction data from/into other systems.
    • Identify opportunities to improve the system and our use of the system, both as a standalone and in integration with our internal systems; implement improvement opportunities, working with internal and external stakeholders.
  • Manage proprietary private investment record-keeping and reporting system.
    • Ensure proper setup of funds, investments, and clients.
    • Enter or upload transactions and investment data into the system.
    • Collect and file documents separate from the automated process.
    • Export and upload valuation and transaction data from/into other systems.
    • Identify opportunities to improve the system and our use of the system, both as a standalone and in integration with our internal systems; implement improvement opportunities, working with internal and external stakeholders.
  • Ensure the quality of alternative investment data through proactive insight, comprehensive problem solving, and effective collaboration; build confidence in systems among users.
    • Flag data issues; spot inconsistencies and gaps.
    • Understand implications of issues identified; develop and execute integrated solutions to address these implications.
    • Maintain internal documentation for key decisions and reference needs.
    • Collaborate with users to drive efficiencies and improvements.
    • Communicate with and provide support to users; promote their understanding of the systems and confidence in system content.
  • Serve as primary backup for the Alternative Investments Inbox by reviewing, categorizing, and tracking emails; acting or forwarding key communications; managing portal access issues; and supporting multi-factor authentication processes.
  • Work on other projects and additional duties as assigned.
