Description

This position is responsible for providing executive support to the Office of the Finance Head including but not limited to the management of financial and administrative needs within the Finance department and the whole organization.



Responsibilities

Administrative Support:



  • Manages the executive calendar and scheduling for the Office of the Finance Head, including agendas, mail, emails, calls, client management, travel arrangements, among others 

  • Coordinates the schedule of the Finance Head with internal and external stakeholders on behalf of the executives

  • Prepares and shares the minutes of the meetings as reference to the attendees and basis for follow-through meetings

  • Manages the executives’ travel and travel-related activities, including hotel booking, transportation, logistics, among others

  • Maintains a filing system/database for relevant records and documents of the Office of the President for ease of access and retrieval 

  • Manages the day-to-day needs of the Office of the Finance Head by performing an array of administrative tasks, e.g., logistics coordination, supplies and facility management in coordination with P&C, and general housekeeping

  • Tracks and submit expenses for reimbursement or payment requisition following finance and accounting processes.

  • Builds relationships with internal and external clients and their executive assistants to correspond 

  • Manage office supplies and equipment to ensure the smooth running of the finance department.

  • Maintain filing systems and ensure all documents are properly organized and accessible.

  • Handle routine office inquiries, emails, and communication related to financial matters.


Compliance and Regulation:



  • Ensure compliance with internal financial policies and external regulations (e.g., tax laws, accounting standards).

  • Assist in maintaining accurate and updated financial records for compliance purposes.


Communication and Coordination:



  • Liaise with other departments regarding budgetary matters and financial queries.

  • Coordinate with external auditors, banks, or financial institutions as necessary.


Data Entry and Reporting:



  • Input financial data into accounting software and systems.

  • Prepare monthly, quarterly, and yearly financial reports for management.


Other Duties:



  • Provide general office support and assist with any other finance-related tasks as assigned by the finance manager or senior leadership.



Qualifications

  • A bachelor’s degree in finance, accounting, business administration, or a related field is preferred.

  • Minimum of 3 years of work experience, preferably those with experience in finance, accounting, or administrative roles

  • Strong knowledge of accounting principles and financial software (e.g., Excel, SAP) and proficient in MS Office (Teams, Word, PowerPoint), with aptitude to learn new software and systems

  • Proficient in organizing and coordinating multiple projects at once 

  • Excellent attention to detail and organizational skills.

  • Strong communication and interpersonal skills.

  • Ability to work with minimal supervision and handle confidential information.
