Forms & Documentation Specialist (Project Based)

Job Description:

We are seeking a detail-oriented and technically proficient Forms & Documentation Specialist to support the refinement and standardization of our machining forms and accompanying user reference materials. This role involves enhancing existing PDF forms for usability and accuracy, developing customer-facing documentation, and ensuring the final deliverables align with both end-user needs and internal process requirements.

The ideal candidate will have experience designing interactive PDF forms using Adobe Acrobat, a strong grasp of user-centered design, and the ability to communicate complex, technical information clearly and concisely

Primary Duties and Responsibilities:

• Review, revise, and organize existing machining forms (e.g., Single Door, Cylindrical) for improved usability and consistency.
• Built interactive and accessible PDF forms using Adobe Acrobat, including form fields, radio buttons, checkboxes, dropdown menus, and tooltips.
• Develop supporting reference guides that include field definitions, visual diagrams (e.g., door handing, hinge layout), and checklist-based instructions for customers.
• Recommend improvements to form structure based on industry best practices and cross-platform usability
• Collaborate with internal stakeholders to validate field logic, hardware terminology, and process alignment.
• Maintain editable templates for future updates and ensure version control.
• Perform other duties as assigned.

Qualifications:

• Proficient in Adobe Acrobat Pro with hands-on experience designing and formatting fillable PDF forms.
• Strong understanding of UX principles as applied to form design.
• Excellent attention to detail, written communication, and organizational skills.
• Ability to translate technical terms and specs into clear, user-friendly content.
• Self-directed, reliable, and able to meet deadlines with minimal supervision.
• Background in architectural hardware, construction documentation, or manufacturing.
• Experience with visual design tools (e.g., Illustrator, Canva, or Figma)
• Familiarity with machining forms, door hardware terminology, or shop drawings
