Healthcare Virtual Assistant Systems Integration & Administrative Operations (Onsite)

About the Role:



Snapscale is looking for a highly technical Healthcare Virtual Assistant (HVA) to support a boutique US-based Direct Primary Care (DPC) and Women's Health practice. This role focuses on executing an EHR systems migration, configuring prescribing and lab portals, and supporting back-office CRM operations.

The ideal candidate has exceptional technical acumen, experience navigating complex healthcare technology stacks (Hint Clinical, Health Gorilla, DoseSpot), and strict adherence to administrative vs. clinical delegation boundaries.

Responsibilities may include:



• Coordinate and finalize the EHR migration (Charm EHR to Hint Clinical), including fax destination updates across lab, imaging, and pharmacy portals
• Configure lab Quick Picks and preferred supplement catalog structures in Hint Clinical and Fullscript
• Populate and verify required patient insurance details in Health Gorilla, Labcorp, and Quest portals for outbound orders
• Assist with DoseSpot prescribing favorites setup and flag clinical allergy discrepancies for physician review
• Prepare provider schedules, daily patient agendas, and manage secure patient messaging workflows in Spruce
• Maintain accurate system checklists, exception tracking logs, and audit trails

• Strong background in US healthcare administration, medical records, and digital workflows
• Prior experience or familiarity with EMR/EHR platforms (Hint Clinical, Charm EHR, Health Gorilla, DoseSpot, Fullscript, or Spruce is a strong plus)
• Advanced proficiency with Google Workspace (Gmail, Google Calendar, Google Sheets) and CRM platforms
• Excellent analytical, data-reconciliation, and problem-solving skills
• Clear understanding of HIPAA compliance and strict clinical vs. administrative role boundaries
• Strong written and verbal English communication skills
