Job Description - HR Admin

Responsible in the various human resources functions which include Recruitment & Staffing, Benefits Administration, HR Policy Formulation, Performance Management, Health & Safety, Timekeeping, and Employee & Labor Relations.

Managing the life cycle of each employee- from recruitment and onboarding to termination or retirement.

Recruitment & Staffing

  • Receiving personnel requisition from different departments and checking them against approved staffing plan.
  • Writing, posting, and managing all job postings.
  • Reviewing resumes of applicants
  • Conducting preliminary screening of applicants, checking reference and background checks (if necessary)
  • Creating and managing job offers (for supervisory positions and down) and contracts.
  • Preparing the on boarding of new employee
  • Endorsing of email account creation
  • Coordinating review and process for employees nominated for conversion from probationary to regular status and those recommended for promotion, making sure that guidelines are complied with.
  • Ensuring that all personnel transactions such as transfers, promotions, resignations, and separations are properly documented.
  • Maintaining confidentiality of documents and information received

Benefit Administration

  • Communicating the benefits program to employees
  • Overseeing the annual enrollment of HMO benefit, addition, deletion, and request.
  • Assisting in employee loan and repayments
  • Responding to employee questions and assisting with claims and complaints.

Policy Formulation
Whatever the intent may be,

  • Drafting the policies and procedures and ensuring it is clear and lawful.
  • Implementing and communicating the policy, whether in isolation, as part of an employee handbook or both.

Performance Management

  • Designing performance review forms and other documents used to assess performances (presently: regularly implementing to probationary employees and annually to utility personnel)
  • Holding managers accountable for completing reviews on time.
  • Maintaining documents files and other records of performance.

Health & Safety

  • Promoting workplace safety
  • Ensuring compliance with labor rules and regulations to avoid fines and other legal issues

Timekeeping

  • Monitoring of attendance. Reviewing and checking of timekeeping report before submitting to Finance for processing.
  • Working with employees to resolve errors and disputes.
  • Recording of leaves taken, overtime rendered, filed official business, and other approved work arrangements and schedules.

Employee & Labor Relations

  • Undertaking activities related to employee discipline. Participating in the investigation process. Evaluating the disciplinary action findings and recommending the corresponding sanctions in accordance with the School’s code of conduct.
  • Explaining employment standards and legislation such as workers’ compensation, labor standards, and fair practice act.

Other Responsibilities

  • Managing Zoom events assigned by the President

- Link creation and configuration

- Support (tech) live sessions

- Monitor the numbers, summarizes the feedback, and prepare the reports

Other administrative tasks

  • On- boarding Lecturers

-Securing required HR documents prior to on- boarding

-Endorsing to IT for email creation

-Providing requests for employment related requests

  • Training Program Projects/ Events

-Preparing of Contract of Services

-Assisting Finance in payment coordination. Getting the bank details and informing them once payment has been transferred. Attending to the concerns regarding payments.

-Coordination, monitoring, and following up with the contracts.

-Assisting the Project Heads.

  • Preparing of foods for events (as assigned by the President)
  • Alien Permit Application and Registration
  • Other tasks assigned by the President and other Department Heads

Job Types: Full-time, Permanent
