The Role
The HR Administration Assistant / Officer is the operational backbone of PPI's People Resource & Culture Management (PRCM) team. You will keep the company's HR administration accurate, timely, and compliant — from timekeeping and payroll inputs to statutory remittances, employee records, recruitment coordination, and onboarding — for a nationwide workforce of field and office staff. You will report to the Head of People & Capability through the Senior HR Generalist and work closely with Finance, Admin, and field managers across the country.
This is a hands-on role for someone who takes pride in getting the details right, is comfortable with HR systems, and wants to grow into a broader HR generalist career within a company that is investing in its people function.
Key Responsibilities
- Maintain complete and accurate employee records (201 files) in physical and digital form; ensure the HRIS (Zoho People) is the single source of truth for employee master data
- Administer timekeeping, leave, and attendance for field and office staff; prepare and validate payroll inputs for submission to Finance on the payroll calendar
- Prepare and file statutory contributions and reports — SSS, PhilHealth, Pag-IBIG, and BIR withholding — accurately and on schedule; maintain remittance records and employee loan ledgers
- Prepare DOLE reports, contracts, certificates of employment, clearances, and other employment documentation; monitor probationary, contract, and regularization dates
- Coordinate recruitment logistics: post vacancies, screen applications against requirements, schedule interviews, coordinate pre-employment requirements and background checks, and maintain the applicant tracker
- Run new-hire onboarding: pre-boarding documents, company ID and system access requests, orientation scheduling, and coordination with Training and IT
- Administer benefits enrollment and changes — HMO, group life, and company benefits — and respond to employee queries on benefits, payslips, and leave
- Support employee relations administration: prepare notices, minutes, and case files under the guidance of the Senior HR Generalist, observing strict confidentiality
- Maintain the HR operations calendar and support HR reporting (headcount, attrition, leave balances, recruitment status) for management
- Support HR projects and events — engagement activities, training logistics, policy rollouts, and process improvement initiatives
