Job Description - HR Administrator - Hybrid | Midshift

We are seeking a detail-oriented HR professional to support day-to-day People & Culture operations. This role focuses on onboarding coordination, employee records management, HR administration, and assisting with payroll and benefits processes. The ideal candidate will bring strong organisational skills, attention to detail, and the ability to handle confidential information while supporting employees and maintaining compliance with labour regulations.

Pre-employment Documentation

  • Prepare and coordinate offer letters, employment contracts and onboarding requirements.
  • Coordinate pre-employment clearances and documents with candidates and other departments.
  • Track pending documents to prevent onboarding delays.
  • Maintain accurate onboarding employee records for compliance purposes.

HR Administration & 201 Files

  • Complete and maintain employee 201 files accurately.
  • File and update P&C documents in Sprout HRIS/P&C SharePoint folder.
  • Assist in issuing P&C notices to various departments, staff, contractors and employees.

Compensation & Benefits (C&B) Support

  • Assist in monitoring attendance, leave, and timekeeping data.
  • Assist in payroll preparation.
  • Assist in company benefits administration.
  • Respond to basic employee queries on payroll, attendance and benefits matters.

Employee Support & Coordination

  • Address general P&C-related employee queries.
  • Assist with onboarding, inductions and company trainings.
  • Support P&C department coordination and reporting.
  • Assist in Employee Engagement Activities.

Compliance & Records Management

  • Ensure accuracy, completeness and confidentiality of records.
  • Maintain documentation in compliance with labour laws, company policies and ISO standards.
  • Support audits and P&C reporting and general administration.

Qualifications

  • Bachelor’s degree in human resources management, psychology, business administration or any similar field or equivalent.
  • HR certification (e.g., PHR, SPHR) is a plus.

Technical/Specialist Skills

  • Ability to effectively communicate across various levels of the business.
  • Proficiency in HRIS Software, MS Office applications and Google Applications.
  • Administrative skills.

Experience

  • Minimum 2 years of experience in the same role.
  • Expertise in HubSpot is preferred.
  • Knowledge of Philippine labour laws and regulations.

Behavioural, Leadership and Business Acumen

  • High level of Emotional Intelligence, interpersonal and communication skills.
  • Keen attention to detail and strong organisational skills.
  • Ability to handle confidential information with integrity, discretion and professionalism.
