Job Description - HR and Office Supervisor - Onsite
Human Resources (70%)
Support and oversee HR administration, documentation and employee records creation/management.
Facilitate employee onboarding, orientation and offboarding processes.
Administer leave, attendance and timekeeping systems, ensuring accuracy and compliance.
Assist in the implementation of compensation and benefits processes such as leave management, payroll processing & coordination and statutory compliance.
Support employee relations activities and serve as an on-site/WFH HR representative for employee concerns, policy clarifications and disciplinary coordination.
Ensure all HR policies, memos and communications are effectively cascaded and observed onsite.
Contribute to HR reports, analytics and compliance documentation as directed by the HR Manager.
Support HR initiatives, engagement programs and wellbeing activities.
Office Administration and Operations Support (30%)
Supervise day-to-day office operations, including supplies, facilities and vendor coordination.
Maintain the cleanliness, safety and orderliness of the physical workspace by coordinating housekeeping activities with the Building Administrators.
Manage office schedules, meetings and logistical arrangements for events or client and employee visits.
Support and coordinate onsite client-related events and activities, ensuring proper preparation, logistics, board room bookings & schedules and documentation.
Ensure adherence to office management policies and internal protocols.
Articulate in addressing all matters and proactive in identifying and resolving operational bottlenecks across HR and office management processes, ensuring smooth onsite operations.
Maintain a personable and approachable demeanour while exercising authority in managing all office affairs, fostering trust, open communication, and strong interpersonal relationships with all employees.
Bachelor’s degree in human resources management, Psychology, Business Administration or any similar field or equivalent.
At least 3 years’ experience in the same role.
Proven ability to work and oversee a team of experienced professionals in an office environment.
Strong knowledge of Philippine labour laws and regulations, particularly concerning employee and labour relations.
Knowledgeable on the Philippines' Occupational Health and Safety rules and regulations.
Proficiency in HRIS Software, MS Office applications and Google Applications.
Expertise in HubSpot is preferred.
HR certification (e.g., PHR, SPHR) is a plus.
Basic First Aid training is a plus.
Ability to effectively communicate and influence across various levels of the business.
Keen attention to detail and strong organisational skills.
Ability to handle confidential information with integrity, discretion and professionalism.
