Job Description - HR Specialist

Description :

We are seeking a highly organized and proactive Executive Assistant who can also handle HR responsibilities for our remote team. The role will be 1/3 HR/recruitment and 2/3 Executive Assistant. The ideal candidate will be skilled in PowerPoint presentations and will assist in both executive and HR functions.

Executive Assistant (2/3 of the role) tasks:

  1. Calendar Management: Schedule and manage meetings, appointments, and travel arrangements.
  2. Email Management: Sort, filter, and respond to emails on behalf of the CEO.
  3. Document Preparation: Create and edit documents, reports, and PowerPoint presentations.
  4. Meeting Coordination: Prepare agendas, take minutes, and follow up on action items.
  5. Client Liaison: Act as the first point of contact for clients and stakeholders.
  6. Expense Reporting: Track and report executive expenses.
  7. Project Management: Assist in planning and executing projects, ensuring deadlines are met.

HR/Recruitment (1/3 of the role) tasks:

  1. Talent Acquisition: Post job openings, screen resumes, and conduct initial interviews.
  2. Onboarding: Assist in the onboarding process for new hires.
  3. Employee Records: Maintain and update employee records.
  4. Performance Reviews: Coordinate and assist in employee performance evaluations.
  5. Offboarding: Assist in the offboarding process, including exit interviews.

Requirements :

  1. Bachelor and #x27;s degree in Business Administration, Human Resources, or related field.
  2. Minimum of 3 years of experience as an Executive Assistant.
  3. Experience in HR or recruitment is a plus.
  4. Proficient in Microsoft Office Suite, especially PowerPoint.
  5. Excellent communication skills.
  6. Ability to work independently and as part of a team.

Grading Criteria

  1. Organizational Skills: Ability to manage multiple tasks and projects simultaneously.
  2. Communication Skills: Excellent written and verbal communication skills.
  3. Technical Proficiency: Advanced skills in Microsoft Office, especially PowerPoint.
  4. HR Experience: At least 1-2 years of experience in HR or recruitment.
  5. Proactivity: Ability to anticipate needs and act on them without waiting for direction.
