The Opportunity at a Glance


We're looking for an Intake Officer to join a growing allied health provider that supports children and families through NDIS-funded services.

 You'll be the first point of contact for new and existing clients, with real end-to-end ownership of enquiries from that first call through to a confirmed booking. It's a small, close-knit team of three, and this hire will help cover intake while the current lead is on leave.


What You'll Actually Do


How You'll Make an Impact




  • Be the first point of contact on the main intake line: answering calls, monitoring voicemail, and managing the shared inbox.

  • Handle a mix of general enquiries, cancellations, billing questions and schedule changes for new and existing clients (roughly 40 calls a day, a manageable volume).

  • Book new clients end to end: matching them with the right practitioner, confirming details, and locking in the first appointment (around 8 to 20 bookings a week).

  • Support clinicians with day-to-day scheduling: rescheduling appointments, finding new locations, and general diary updates.

  • Liaise directly with schools, parents and practitioners to find appointment times that work for everyone, juggling a few competing schedules at once.

  • Take full ownership of enquiries from first contact through to close, rather than handing things off or waiting to be told what's next.

  • Complete a short risk-assessment questionnaire as part of the booking call, once trained (not something you'd be expected to do on day one).

  • Step in flexibly to cover teammates' work when needed, since it's a small team and everyone pitches in.



What We're Looking For – You're the Perfect Fit if You:


Non-Negotiable Requirements




  • Previous experience in an administrative or team-support role.

  • Have strong written and verbal communication skills.

  • Have real stakeholder management skill: comfortable juggling competing priorities across practitioners, parents and schools, and opening a dialogue to find a workable compromise.

  • Have experience in healthcare, disability or the allied health/NDIS sector

  •  Are comfortable working without a rigid script: a natural relationship-builder who listens first and adapts, rather than reciting lines.

  • Have a proactive, end-to-end ownership mindset: you see an enquiry through to done, rather than waiting for direction or handing it off.

  • Are comfortable with everyday Microsoft Office tools (Outlook and Sharepoint)



What Sets You Apart – You'll Shine Even Brighter With:


Nice to Haves (but not Dealbreakers):



  • A certificate or tertiary qualification in Business Administration or a related field.

  •  Previous use of a practice management or EHR system (EVA).

  • International or offshore healthcare/admin experience is completely fine: AU-specific exposure isn't required.



Work Schedule & Employment Terms



  • Full-Time | Monday to Friday | 6:00 AM – 3:00 PM PHT 

  • Hybrid work setup (Must be willing to report onsite in BGC, Taguig once per month)

  • Open to PH-based applicants only (not freelance or project-based)
