Job Description - Junior Office Coordinator

We are looking for a hardworking, self-motivated, and confident team member with excellent communication skills to join our ever-expanding team as an Office Coordinator. Previous experience in a similar role is desirable. The ideal candidate will possess the ability to work well under pressure, problem solve, and be confident communicating with team members and management.

Responsibilities:

Cashflow and Admin:

  • Ensure that cheques and relevant forms are prepared in advance and on time for all recurring and one-off payments. Present these to Operations Director to review and sign.
  • Maintain the cashflow sheet and ensure amounts and balances in there match the actual position in the bank accounts. Keep the Operations Director informed and up to date for the cashflow position at all times.
  • Prepare monthly summary for both external Accountant and UK Finance Team that covers all expenses during the month, together with credit card statements, online banking spending history screenshots, and supporting receipts. Summary should also include the current balances in all of the accounts that VesselsValue PH, Inc holds.
  • Prepare the monthly billing statements to the parent company.
  • Liaise with external lawyers for the preparation of Secretary Certificate and BoD Meeting notes at the request of the Operations Director
  • Act as first point of contact and liaison for external suppliers and service provides with the aim of getting offers and quotations. Submit these to the Operations Director for review.
  • Planning of company events along with events committee members and human resource department.
  • Organizing office visit related items such as accommodations, food, and transport.

Office Maintenance:

  • Liaise with Housekeeper for the procurement of relevant office pantry supplies and cleaning materials.
  • Ensure that the pest control, sanitation/disinfection and aircon preventive maintenance are done on schedule.
  • Checking of fixtures or any repairs needed to be sorted out with the building maintenance/admin.
