- Deploy / dispatch the right seafarers per standard and requirements of the Clients and the organization.
- Ensure that planned seafarers hold valid, complete and compliant mandatory and statutory Certificates, Documents and Licenses, including Australian MCV.
- Preparation and issuance of employment contract, Seafarer’s Employment Agreement (SEA), and Allotment Agreement
- Preparation and issuance of extension employment contract, and Seafarer’s Employment Agreement (SEA) for crew on board
- Monitoring of validity of Oversees Employment Certificate (OEC).
- Initiate and coordinate timely cancellation/reprocessing of crew’s employment contract with Crew Support Services.
- Ensure that planned seafarers have undergone requisite value added Training per Client’s Training Matrix.
- Coordinate with Training Department on the implementation of training program and PDOS of seafarers.
- Provide regular update on status of crew documentation such as PEME, employment contract processing, visa, and flag document application
- Ensure that all documents of seafarer are timely and accurately encoded, uploaded and updated in CMS. Keeping in mind that CMS should be compliant upon crew deployment.
- Coordinate with Crew Support Services for the documentation application of statutory requirements such as: POEA contract, Flag State, US Visa, Joining Visa, etc.
- Coordinate timely requisition of seafarers' uniform/working gear, hygiene kit, PPE, if required
- Ensure that ON and OFF signing seafarer flight booking is properly arrange and coordinated with concerned Master / Travel agent / Attending agents and client.
- Arrange and coordinate with Master and Agent issuance of OK to Board (OKTB), Letter of Guarantee (LOG), etc. for joining and off-signing crew.
- Timely updating of crew movement in CMS
- Ensure timely approval of invoices in EyeShare
- Preparation of Request for Payment for travel allowance, reimbursement, and other payables to crew.
- Ensure Internal & External emails are properly acknowledged and responded to.
- Coordinate with Finance Department regarding allotment, wages, allowances, and benefits of seafarers.
- Ensure joining crew have copies of all relevant certificates and submits all required documents before joining their vessel.
- Ensure compliance with client specific instructions
- Ensure most economical flight booking and timely submission of OEC to Travel agent
- Encoding, updating, and uploading crew’s performance evaluation provided by the Master/Vessel/CCC
