Job Description - Marketing Administrator

This is a remote position.

  • This is a remote position
  • Part-time | 20 Hours Per Week
  • Starts at P20,000 take-home pay per month
  • 10:00 PM - 2:00 AM PHT Manila
  • Monday to Friday


Objective Overview:

The Marketing Administrator will be an integral part of a dynamic marketing and communications team, focusing on enhancing internal communications and providing essential administrative support. By managing schedules, coordinating meetings, and handling various logistical tasks, the Marketing Administrator ensures the team operates seamlessly. This support is vital for maintaining the momentum of marketing campaigns and ensuring all projects are completed on time and to the highest standard.

Responsibilities:

  • Fresh Desk Utilization:

    • Manage primary ticket ingestion using Fresh Desk.

    • Ensure efficient and effective ticket handling.

    • Monitor and address ticket statuses to maintain quick response times.

  • On-Boarding, Off-Boarding, and Branch Transitions:

    • Assist the Marketing Coordinator with detailed processes for on-boarding new employees.

    • Manage off-boarding procedures for departing employees.

    • Oversee branch transitions to ensure smooth operational shifts.

  • Technical Support:

    • Provide email support for marketing-related technical issues.

    • Assist with account setup for various tech tools.

    • Troubleshoot and resolve common technical problems.

  • Utilization Metrics and Reporting:

    • Track tech tool utilization metrics and prepare reports.

    • Implement gamification strategies to increase tool usage.

    • Analyze usage data to identify areas for improvement.

  • eSignature Customization:

    • Customize eSignature integrations between Outlook and Salesforce.

    • Coordinate eSignature settings with marketing automation tools.

    • Ensure seamless eSignature functionality across platforms.

  • Information Management:

    • Manage and update loan officer information in the system.

    • Ensure all records are accurate and current.

    • Handle requests for information changes efficiently.

  • Compliance:

    • Oversee shared content and design compliance approvals.

    • Ensure all marketing materials adhere to company and regulatory standards.

    • Maintain records of compliance approvals and revisions.

  • Database Management:

    • Format and maintain marketing databases accurately.

    • Perform regular updates and data clean-up.

    • Ensure database integrity and accessibility.

  • Offer and Disclosure Management:

    • Keep the marketing offers and compliance disclosure spreadsheet up-to-date.

    • Review and verify the accuracy of information.

    • Communicate updates to relevant stakeholders.

  • Ticket Optimization:

    • Assist in developing canned responses for common queries.

    • Optimize the marketing ticket queue within the Fresh Desk system.

    • Ensure quick and efficient resolution of tickets.

  • Quick Reference Guides:

    • Create click-through video guides for various CRM tasks.

    • Develop general explanations for using the marketing library.

    • Provide instructions for marketing automation and review management systems.

  • Template Development:

    • Develop templates for common marketing requests.

    • Create standard responses for flyer requests and other materials.

    • Ensure templates are accessible and easy to use by the marketing team.


Goals and KPIs:

  • Reduce the current Marketing Coordinator’s On-Boarding, Off-Boarding, and Branch Transition time by 50% to 75%.

  • Reduce Ticket Queue Management by On Shore Marketing Team Members Ticket Queue Assignment by 50%.


Performance Objectives:

First 2 Weeks: 

  • Familiarize yourself with the Fresh Desk system and start handling tickets under supervision. Shadow the Marketing Coordinator to understand on-boarding/off-boarding processes and learn about email account setups and tech support.

  • Learn the format and requirements for the marketing database while starting to familiarize yourself with its current structure.

First Month:

  • Implement gamification techniques to boost tech tool utilization, while also tracking metrics for effectiveness.

  • Master eSignature integration across Outlook, Salesforce, and marketing automation tools, alongside managing updates to loan officer information and maintaining compliance disclosure spreadsheets.

First 90 Days

  • Gain understanding of content and design compliance approval process, participate with guidance, and assist in creating QRG and explanation videos.

  • Collaborate on drafting and refining canned responses for marketing ticket queue optimization, and take full responsibility for handling tickets through Fresh Desk for timely processing.


First 180 Days


  • Independently handle complex eSignature customizations, refine metrics reporting, and implement gamification strategies to boost tool utilization.

  • Manage loan officer information changes, ensuring accuracy and compliance, while also taking an active role in content and design compliance approval processes.

First Year

  • Independently provide comprehensive support for tech tools, resolving issues efficiently and enhancing utilization metrics.

  • Lead Compliance and Database Management efforts, ensuring full compliance, maintaining documentation, and optimizing ticket queue processes for efficiency.



Requirements

Key Requirements:

  • Bachelor’s degree in Marketing, Business Administration, or a related field is preferred.

  • Detail-oriented with excellent organizational and multitasking abilities.

  • Excellent interpersonal skills for coordinating with team members and other departments.
