Job Description - Office Admin (Philippines)

The Office Admin is responsible for developing, managing and maintaining all engineering document control systems.


Key responsibilities:



  • Support engineering activities, maintain and update project documentation, and assist with daily project operations, while addressing any additional client-requested requirements to ensure timely and effective delivery of project objectives.

  • Timely, accurate and efficient preparation and management of documents. Gather, log, and distribute various engineering documents

  • Manage the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by technical teams, projects or departments

  • Track and expedite documentation, including deviations that are controlled and traceable

  • Maintain established files of drawings and correspondence. Logs and routes interdisciplinary checks and supplier data.

  • Create and maintain distribution matrices

  • Interface with project personnel and clients and work effectively in a multi-discipline team environment

  • Ensure project document control standards and issued documentation meets the contract requirements

  • Evaluate existing document management systems and procedures in order to streamline the effectiveness

  • Assist in creating new policies and procedures that deal with document storage, sharing, sending, and destruction

  • Perform other responsibilities associated with this position as may be appropriate.



Qualifications to be successful in the role



  • Bachelor’s degree or equivalent experience in Business Administration, Office Management, or a related field

  • At least 1–2 years of experience in office administration, clerical support, or administrative coordination

  • Familiarity with documentation processes and administrative works

  •  Ability to drive both manual and automatic vehicles with a valid driver’s license

  • Strong organizational and time-management skills with the ability to handle multiple tasks efficiently

  • Excellent verbal and written communication skills

  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook) and other office management software

  •  Ability to maintain confidentiality and handle sensitive information professionally

  • Strong attention to detail and problem-solving abilities

  • Ability to work independently and collaboratively within a team environment

  • Professional attitude, reliability, and strong interpersonal skills
