Job Description - Operational Quality and Systems Lead


Responsibilities





    We are seeking a highly motivated, goal-oriented, and results-driven professional with a strong understanding of the Fire & General Insurance underwriting industry—preferably with experience in Australia or New Zealand (though this is not essential). The ideal candidate will have excellent communication skills to liaise with Advisers and aligned Brokers, and confidently handle customer queries via email, our online portal, and occasionally over the phone.



    1. General Responsibilities:
  • Act as a primary point of contact for internal and external advisers and stakeholders.

  • Serve as the communication bridge between NZFA and Deployed for employee-related matters.

  • Maintain and update office policies and procedures.

  • Ensure accuracy and compliance across all operational processes.

  • Liaise with both internal and external stakeholders to update policy wordings and schedules in internal system

  • Provide technical support to onshore teams by troubleshooting system access issues, guiding platform usage, and escalating complex problems to IT or vendors as needed.

  • Collaborate with the Accounts team to resolve payment discrepancies, assist with financial reconciliations, and ensure alignment with policy schedules.

    2. Managerial Responsibilities:

  • Work alongside Senior Management to implement operational structures that align with NZFA Group’s strategic direction.

  • Ensure operational compliance with company guidelines and policies.

  • Lead and facilitate the achievement of high-performance standards across the operation team.

  • Oversee the development and implementation of staff development and training programs.

    3. Reporting & Analysis:

  • Compile and distribute monthly New Business and Renewal Reports for Advisers and Management.

  • Prepare and analyze Broker Budget reports, comparing actuals vs. forecasts.

  • Provide forward-looking estimates for New Business and Renewals based on trends.

  • Document meeting minutes and follow up on action points raised during staff meetings.

    4. Employee Onboarding:

  • Coordinate system and account setup for new employees (e.g., Gmail, FBA, Pipedrive, CRM, Insight, Insly).

  • Ensure all tools and software are ready prior to new team members’ start dates.

  • Manage logistics including phone/mobile setup, uniform allocation, and password provisioning.

  • Collaborate with Deployed IT for system readiness (for Manila-based staff).

    5. Operational Oversight:

  • Monitor access controls and system usage for any risks or red flags.

  • Continuously assess and refine business processes, ensuring deviations are documented and approved.

  • Support and guide staff in understanding and complying with all process changes.

  • Drive policy administration processes, ensuring accuracy in documentation, amendments, and transactions.

  • Lead internal audits and reviews to uphold standards and initiate improvements as needed.

    6. Day-to-Day Operations:

  • Ensure smooth daily operations across all teams.

  • Provide ongoing coaching and development opportunities for team members.

  • Communicate clearly any updates or procedural changes, ensuring full team understanding.

  • Carry out additional duties as reasonably requested, aligned with the position.






Requirements





  • Proficient in using CRM systems and Excel for tracking, reporting, and process analysis

  • Proven leadership experience managing a team, including underwriters, admin support, claims, and collections teams.

  • A proactive, can-do attitude, comfortable with hands-on involvement in operations.

  • Strong customer service skills, able to assist clients with policy inquiries and follow-ups.

  • Ability to collaborate with senior staff and provide insights and reporting to Senior Management.

  • A comprehensive induction and training program will be provided to equip the successful candidate with a deep understanding of our underwriting platform, technical solutions, and the broader industry landscape.




Work Arrangement




  • Work Setup: On-site

  • Work Hours: Monday to Friday, 6:00 am to 8:00 am flexi start time, should complete nine (9) hours work, inclusive of one (1) hour lunch break
