About the Role:

The Operations Admin Specialist's role is to ensure smooth and efficient operation across the business, managing various administrative tasks, supporting other team members, contributing to the overall productivity ensuring adherence to our purchase-to-pay process.

Ideal Candidate (must have requirements):

  • With at least 2 years of experience handling office administrative tasks.
  • Advanced skills in using spreadsheets (e.g., Microsoft Excel) for data entry, analysis, and reporting. 
  • Proficient in using Microsoft Word, Excel, PowerPoint, and Outlook for document creation, spreadsheet management, presentations, and email communication. 
  • Proficient in Graphic Design Tools (Canva, Adobe…) 
  • Excellent verbal and written skills 
  • Keen attention to detail, ensuring accuracy in documentation and data entry, thoroughness in reviewing and verifying information. 
  • Ability to prioritize tasks effectively and maintain a well-organized work environment 
  • Flexibility to adapt to changing priorities and handle multiple tasks simultaneously, ability to work well under pressure and meet tight deadlines. 
  • Experience working collaboratively with cross-functional teams, Ability to build positive relationships with colleagues and stakeholders. 
  • Employee work set-up will have to be onsite in our office in IT Park, Cebu City

Tasks and Responsibilities:

  • Managing attendance-related requests and transactions in real-time 
  • Email management, sorting, labeling, forwarding, and archiving 
  • Experience being involved with workplace Audits (5S, Productivity Monitoring Tools) 
  • Managing office supplies inventory and office logistics 
  • Process hotel bookings, invoices, reimbursements, and other basic financial transactions. 
  • Experience in conceptualizing, and organising office events 
  • Skilled in creating infographics
