POSITION TITLE: Paralegal Assistant

WORK SCHEDULE: Monday – Friday, 8:00 AM EST – 5:00 PM EST



ACCOUNTABLE TO: CEO / General Counsel



ACCOUNTABLE FOR: Timely and accurate administrative support of legal workflows, document processing, and legal recordkeeping across all affiliated companies



CLASSIFICATION: Exempt – Independent Contractor / Vendor (Non-U.S., W-8BEN)



COMPENSATION RANGE: Ranges between $5 to $8 per hour



ANTICIPATED TRAVEL: None



WORKING CONDITIONS: Remote only



SUMMARY OF POSITION RESPONSIBILITIES


The Paralegal Assistant provides administrative and substantive legal support to the Legal Affairs Division, including the CEO, outside counsel, and other authorized leaders. This role assists with legal document preparation, contract coordination, compliance tracking, and legal file management across Enterprise Management and its affiliated companies.



The Paralegal Assistant supports legal research, document review, and regulatory documentation while helping maintain organized records and efficient legal workflows in a fast-paced, multi-entity environment.



SCHEDULED DUTIES AND RESPONSIBILITIES



  • Prepare, format, and proofread legal documents including contracts, NDAs, MOUs, amendments, and compliance certifications

  • Assist with preliminary contract review to ensure completeness, consistency, and adherence to standard templates

  • Maintain document control systems including Google Drive and the Legal Dropbox

  • Organize and maintain legal files including vendor agreements, regulatory documents, and corporate records

  • Receive, categorize, and route legal correspondence and scanned documentation for legal review

  • Track contract deadlines, renewal dates, and legal obligations using shared calendars and task management tools

  • Coordinate internal reviews and signature collection processes for legal documents

  • Schedule meetings and maintain communication logs with legal advisors and consultants

  • Assist with preparing documentation required for regulatory compliance and organizational filings

  • Maintain strict confidentiality of all legal, financial, and personnel records



UNSCHEDULED DUTIES AND RESPONSIBILITIES



  • Assist with legal research related to contracts, regulations, and compliance matters.

  • Support contract review processes and summarize key provisions when requested.

  • Participate in special legal projects including contract audits, organizational filings, and compliance initiatives.

  • Serve as a liaison between internal departments and legal advisors when coordinating legal documentation.

  • Maintain and update legal templates, compliance trackers, and internal legal reference materials.

  • Assist in reviewing filings and documentation for completeness and accuracy prior to submission.

  • Support internal documentation of legal risk management activities.

  • Provide administrative assistance to executive staff upon request.

  • Identify process improvement opportunities in legal document management and contract workflows.

  • Working knowledge of legal terminology, contracts, and regulatory documentation

  • Strong attention to detail and commitment to confidentiality

  • Ability to review legal documents for structure, completeness, and consistency

  • Proficiency in Google Workspace (Drive, Docs, Sheets) and Adobe PDF tools

  • Ability to coordinate multiple deadlines and legal processes simultaneously

  • Strong sense of accountability, initiative, and task ownership



LEVEL OF EDUCATION / TRAINING / QUALIFICATIONS



  • Associate’s degree or certificate in Legal Studies, Business Administration, or a related field (Bachelor’s preferred)

  • Paralegal certificate (preferred)

  • Minimum 1–2 years of experience in a legal, executive assistant, or administrative support role

  • Prior experience working with U.S.-based companies or regulatory environments (preferred)

  • Strong English language proficiency

  • Ability to pass background and reference checks
