Job Description - Payment Services Administrator

About the Role

Accuracy, accountability, and consistency are essential to how we operate.

We are seeking an experienced Payment Services Administrator to support our finance operations across multiple entities. This role is best suited for someone who thrives in structured, compliance-driven environments and brings proven experience in Accounts Payable or payment processing.

In this role, you will play a key part in ensuring supplier invoices and payments are processed accurately, on time, and in full compliance with company policies and controls—contributing directly to delivering seamless business operations that support our global vacation experiences.

How You’ll Shine

Invoice Processing

  • Process and code supplier invoices outside of BirchStreet, ensuring accuracy, proper approvals, and correct period posting
  • Review invoices submitted via BirchStreet prior to transmission
  • Ensure all invoices meet documentation and compliance requirements

Payment Processing

  • Prepare and execute scheduled payment runs in line with agreed timelines
  • Obtain appropriate approvals prior to payment release
  • Process and transmit EFT payments through online banking platforms

Reconciliations & Accounting Support

  • Perform monthly supplier statement reconciliations
  • Review and process corporate credit card transactions and employee expense claims
  • Prepare journal entries and corrections in the general ledger as needed
  • Maintain accurate supplier master data and organized filing systems

Stakeholder Collaboration

  • Liaise with suppliers and internal stakeholders to resolve invoice and payment queries
  • Communicate effectively across finance, sales, operations, and leadership teams

Compliance & Standards

  • Adhere strictly to company policies, internal controls, and accounting procedures
  • Support safe and compliant workplace practices
  • Demonstrate Travel + Leisure Co. values: integrity, accountability, collaboration, and service excellence

What You’ll Bring

This is not an entry-level role. We are looking for professionals who can confidently manage transactional finance responsibilities with minimal oversight.

Essential Requirements

  • Minimum 1 year of hands-on Accounts Payable or payment processing experience
  • Strong understanding of general accounting principles and AP processes
  • Proven ability to meet daily, weekly, and monthly deadlines
  • High level of accuracy and attention to detail
  • Confidence working within structured approval and compliance frameworks

Highly Regarded

  • Experience with PeopleSoft Financials, Attache, or Sun Systems
  • Exposure to multi-currency environments
  • Experience using online banking and EFT platforms
