Job Description - Payroll Associate

If you're a dedicated professional with a sharp eye for detail and a commitment to accuracy, we’re looking for a Payroll Associate to join our team.

This is an exciting opportunity for someone who values precision, compliance, and confidentiality. You’ll play a vital role in managing timekeeping, interns’ payroll, and final pay processes, ensuring they are completed accurately and in line with local statutory regulations. Your work will directly support a smooth, efficient payroll operation, maintain data integrity and contribute to overall employee satisfaction.

What you will do as a Payroll Associate
  • Execute end-to-end payroll processing for active employees, interns, and separated employees (final pay), ensuring full compliance with company policies and Philippine labor and tax regulations.
  • Administer timekeeping processes, including maintaining employee records, validating attendance, resolving discrepancies, and coordinating with stakeholders to ensure timely cutoff submissions.
  • Compute and process payroll for interns and separated employees, ensuring all documentation and statutory compliance are in place.
  • Address and resolve payroll-related inquiries or disputes in a timely, professional, and confidential manner.
  • Generate and submit payroll reports and data analytics to support business operations and inform decision-making.
  • Review, document, and improve payroll procedures to drive greater efficiency, accuracy, and compliance.
  • Stay updated on Philippine payroll laws, tax changes, and applicable local and international labor policies; apply required process updates proactively.
  • Provide occasional support for banking tasks, Annualized Tax Data (ATD) processing, and other related accounting or payroll duties as needed.
What ClearSource Needs from You
  • Holds a Bachelor’s degree in Accounting, Business Management, or a related discipline.
  • 1–2 years of proven experience in a payroll processing role or similar position involving payroll administration.
  • Solid knowledge of payroll principles, labor laws, and tax regulations, with a strong emphasis on federal, state, and local compliance.
  • Hands-on experience with payroll software and timekeeping systems; familiarity with Philippine payroll processing is preferred.
  • Experience with Costa Rica timekeeping processes is a plus, though not required.
  • Proficient in Microsoft Excel and other spreadsheet tools, with demonstrated ability to perform data analysis and validation.
  • Strong analytical and problem-solving skills, with a keen attention to detail and commitment to accuracy.
  • Excellent organizational skills and ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Demonstrates professionalism, confidentiality, and integrity in handling sensitive payroll data.
