The Senior Finance and Accounting Coordinator in Philippines will take full responsibility to manage and maintain the records of all transactions aligned with Philippines Financial Accounting Standards, GPSEA SOP & Policy and Philippines taxation.
He/she will manage the Finance team to ensure adherence to GPSEA Financial SOPs and is accountable for the completeness, accuracy, and compliance of all transactions with GPSEA SOPs
This is a permanent position open for Greenpeace staff only based in Manila.
Duties and Responsibilities:
- Responsible to support Philippines staff to enable them to comply with GPSEA financial standard operational policies and procedures
- Responsible to maintain and manage the Finance System (Accounting System, Expense claim, Purchase Order and Invoice Systems) with accuracy, timely and proper records keeping
- Responsible for the organization’s compliance with withholding (WHT) tax reporting and annual tax return
- Responsible for supervising all financial transactions/purposes to support the GPPH office smoothly in operations and meet organization objectives
- Become project partners by providing guidance to Budget holders/Project leaders starting from planning, monitoring and preparation of donor’s report as necessary
- Ensure that the information of Account Code, Budget Code, description in the Cash Book and Supplier Code have been recorded properly and uploaded on a weekly basis in the system
- Prepare necessary monthly adjustment transactions with proper authorization such as fundraising income, revenue recognition, interoffice to other GP Offices, amortization, accrual estimation, etc. as scheduled
- Responsible for Fixed Asset records (new asset and disposal) in the SUN System and manage the Asset Number
- Responsible for submitting monthly withholding tax report and annual tax return
- Manage Finance Officer and Administrative Officer, ensure that their tasks are performed as scheduled
- Supervise Finance Officer and Administrative Officer to ensure that GPSEA SOP and Policy has been implemented
- Responsible for creating and updating the user, the authorization pool, activating the Budget Code and setting the Budget Code with the group in the Finance system
- Responsible for creating Supplier Code
- Manage the asset data in the Sun System to match the asset information with Finance system including the new and disposed assets
- To lead, motivate, coach, train, manage the Finance Officer and Administrative Officer in delivering the objective
- Provide the Finance Induction for the new staff
- Provide any information and documents needed from other NRO
- Liaise with the auditors in providing the data and information
- Liaise with the suppliers in providing the tax document as needed
- Reconcile the bank transaction with the transaction in the SUN system and provide any adjustment needed
- Responsible for Account Allocation for balance sheet accounts monthly or earlier as needed
- Provide the balance sheet accounts schedule and ensure that the balance is tangible
- Timely reporting the withholding tax and annual tax return
- Provide data and information requested by third parties (auditor, tax, bank, suppliers, staff, etc) with coordination with Senior Finance & Admin Manager
- All transactions have been recorded in SUN System in accordance with the schedule
- Accurate financial information such as Trial Balance, General Ledger, Balance Sheet and Schedule Report
Skills and Experience:
- Preferably Bachelor in Accounting or Finance
- Minimum 7 years’ experience in Finance, Accounting and Taxation.
- Experience in Advance reconciliation is an advantage
