Job Description - Real Estate Executive Assistant

Job Type: Full Time

Work Hours: Monday to Friday, Mountain Time

Salary: $5 - $7 per hour

Overview:

We are seeking a highly experienced and proactive Real Estate Executive Assistant to support our executive team. The ideal candidate will have exceptional communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently from a remote location. This role requires a strategic thinker who can handle complex tasks and ensure the smooth operation of our executive functions, facilitating effective communication within the organization and with our clients.

Key Responsibilities:

  • High-Level Administrative Support: Provide comprehensive administrative support to the executive team, including managing calendars, scheduling virtual meetings, and coordinating travel arrangements.
  • Strategic Communication: Serve as the primary point of contact for internal and external communications, including emails, phone calls, and correspondence.
  • Professional Email Management: Determine when and how to respond to emails professionally. Prioritize, organize, and manage the executive's email inbox, ensuring timely and appropriate responses.
  • Advanced Document Management: Prepare and manage complex documents, reports, and presentations. Ensure that all documents are accurately filed and easily accessible electronically.
  • Executive Meeting Coordination: Organize and coordinate high-level virtual meetings, including preparing agendas, taking minutes, and following up on action items.
  • Client Relations: Maintain and strengthen relationships with clients by providing exceptional service and addressing inquiries and concerns promptly.
  • Project Management: Oversee and manage various projects, ensuring deadlines are met and deliverables are completed to the highest standard.
  • Event Planning and Execution: Plan and execute virtual company events, including client appreciation events and team-building activities.
  • Data and Records Management: Maintain accurate records and databases, ensuring all information is up-to-date and easily retrievable.
  • Confidentiality and Discretion: Handle sensitive information with the highest level of discretion and confidentiality.

Requirements

  • Minimum of 5 years of experience as an Executive Assistant, with at least 3 years in the real estate industry.
  • Proficient in determining when and how to respond to emails professionally, ensuring clear and timely communication.
  • Strong organizational and multitasking abilities.
  • Exceptional written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Slack).
  • Ability to handle sensitive information with discretion and confidentiality.
  • Strong problem-solving skills and the ability to think strategically and critically.
  • Detail-oriented with a high level of accuracy.
  • Ability to work independently and manage time effectively.
