Job Description

About the Role:

We are looking for a highly organized and proactive Office Administrator to join our team. This role is crucial in ensuring smooth daily operations by providing administrative support, managing office logistics, and assisting visitors and employees. Key Responsibilities:

  • Greet, assist, and direct visitors to the appropriate personnel.

  • Maintain the visitor registration system (Swiped ON) and conduct daily security checks in cooperation with security guards.

  • Manage biometric access, taxi services, and visitor sign-in systems

  • Handle office management expense reports and submit weekly reports to direct managers.

  • Monitor and maintain KPI values and targets.

  • Manage JIRA tickets and monitor tasks efficiently.

  • Monitor fire and safety alarms and respond appropriately.

  • Address last-minute requests from Senior Management and VIP guests.

  • Communicate and coordinate with suppliers for office needs.

  • Oversee the flow of incoming and outgoing mail and cargo.

  • Manage office supply orders (groceries, water, stationery, pharmaceutical supplies) and ensure proper distribution.

  • Administer the BioStar2 fingerprint access system and manage file administration for office-related needs.

  • Supervise business-related transportation bookings.

  • Assist with event planning and management.

  • Provide office-related information and support staff as needed.

  • Supervise cleaning services and ensure office cleanliness.

  • Maintain furniture inventory and oversee space utilization.

  • Coordinate plant and gardening services.

  • Conduct regular inspections of the office, including cleanliness, building maintenance, and signage.

  • Provide general administrative support to departments within the company.

  • Ensure compliance with company policies, procedures, and guidelines

  • Oversee office repairs and maintenance via the ticketing system.

  • Assist in training new employees on office procedures and policies.

  • Maintain administrative records for staff, guests, and contractor parking.

  • Manage internal communication pages.

  • Pre-approve office-related orders and invoices with the Office Lead.

  • Ensure the proper functioning of office equipment such as coffee machines and vending machines; arrange maintenance as needed.

  • Oversee office construction projects and furniture maintenance.

  • Coordinate meetings, appointments, and event preparations.

  • Address customer complaints or issues professionally and efficiently.

  • Perform additional duties as assigned by the manager.

 

Qualifications

Qualifications & Skills:

  • Proven experience in office administration, facility management, or a similar role.

  • Strong organizational and multitasking skills with the ability to prioritize tasks.

  • Excellent communication and interpersonal skills.

  • Proficiency in Microsoft Office Suite and office management software.

  • Experience in managing visitor registration and biometric access systems is a plus.

  • Ability to work under pressure and handle last-minute requests efficiently.

  • Attention to detail and problem-solving abilities.
