Description
The Accounts & Administration Officer will support day-to-day accounts payable, supplier administration, reconciliations, and general operational administration. This role will assist with high-volume supplier invoice processing, averaging approximately 500–750 invoices per month, and will help ensure invoices, purchase orders, delivery documentation, payment records, fuel reconciliations, stock records, and administrative information remain accurate and up to date.
Process supplier invoices accurately and efficiently, ensuring correct coding, approval, and supporting documentation.
Match purchase orders, supplier invoices, delivery dockets, and related records to confirm accuracy before processing.
Assist with supplier payment runs, payment preparation, remittance records, and payment follow-up where required.
Maintain supplier records, vendor details, account information, and supporting documentation in the accounting system.
Respond to supplier queries and assist with resolving invoice, payment, or account discrepancies.
Perform supplier account and statement reconciliations, following up outstanding items or variances.
Support daily and monthly fuel reconciliations, ensuring transactions, stock movements, and supporting records are complete and accurate.
Assist with stock reconciliations, exception reporting, and investigation of discrepancies across operational records.
Support general ledger reconciliation tasks and month-end finance administration as required.
Prepare and maintain accurate finance, supplier, stock, fuel, and operational administration information.
Assist with reporting, data entry, document control, filing, and general office administration tasks.
Work closely with internal team members to obtain approvals, clarify discrepancies, and ensure information is processed in a timely manner.
Identify recurring issues, missing documentation, process gaps, or data errors and escalate them appropriately.
Contribute to improving accounts payable, reconciliation, and administration processes as the role develops.
Other position-level duties as they arise.
Requirements
Bachelor’s degree in Accounting, Finance, Business Administration, Commerce, or a related discipline is preferred.
Minimum 2+ years’ experience in accounts payable, accounts administration, finance administration, reconciliations, office administration, or a similar support role.
Strong experience processing supplier invoices, matching purchase orders, checking supporting documents, and maintaining accurate payment records.
Experience handling high-volume invoice processing is highly regarded.
Experience completing supplier reconciliations, account reconciliations, stock reconciliations, fuel reconciliations, or similar finance and operations reconciliation tasks.
Familiarity with accounting systems, finance software, ERP systems, or similar business platforms.
Strong Microsoft Excel skills, with the ability to manage data, complete reconciliations, update reports, and check financial information accurately.
High attention to detail when reviewing invoices, purchase orders, supplier records, stock information, fuel data, and payment documentation.
Strong organisational skills, with the ability to manage recurring deadlines, high-volume transactions, and competing administration tasks.
Good written and verbal communication skills for supplier follow-up, internal coordination, and documentation.
Ability to work independently while supporting a small finance or operations team.
Proactive, reliable, accurate, and comfortable working in a high-volume accounts and administration support role.
