Job Role:           Accounts Payable - VA 

Compensation range:          $1500 AUD - $1800 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Our client is a privately owned hospitality company based in Victoria, Australia. They focus on delivering high-quality food, beverage, and service experiences while creating engaging, customer-focused environments. Their expertise spans venue operations as well as industry training and advisory support, with a strong emphasis on service excellence and team development.

Role Overview: 

We are seeking a detail-oriented Accounts Payable Virtual Assistant to support day-to-day finance operations. This role is responsible for managing the full accounts payable process, ensuring accuracy, timeliness, and proper financial record-keeping across multiple venues.

Key Responsibilities: 

• Manage end-to-end invoice processing, from receipt through to payment preparation
• Accurately allocate expenses to the correct general ledger (GL) codes across multiple entities/venues
• Review invoices for accuracy and resolve any discrepancies with vendors or internal stakeholders
• Maintain organized and up-to-date accounts payable records and documentation
• Ensure timely processing of payments in line with company policies and deadlines
• Support reconciliation tasks related to accounts payable as needed

Required Skills and Qualifications:

• Proven experience in accounts payable or a similar finance support role (At least 3 years of remote experience)
• Strong understanding of GL coding and cost allocation
• High attention to detail and accuracy
• Ability to manage deadlines efficiently
• Strong written and verbal communication skills for liaising with suppliers and internal teams
• Experience with Xero and ability to adapt to new platforms (e.g. FoodByUs, Sculpture)
  

Preferred

• Experience supporting multi-site or multi-entity operations
• Experience with Dext
• Background in hospitality or service-based industries is a plus
