Role: AI Implementation Specialist

Priority Location: Open to South Africa, Latin America, or the Philippines (Open to global search)

Working Hours: Monday-Friday, 20-40hrs/week with 8AM-12PM Central Time required overlap

About the Role:

We need a hands-on AI Implementation Specialist to help two businesses, a digital marketing agency and a medical billing company, use AI and automation to cut down the manual, repetitive work in their daily operations. The focus is on practical results. You'll look at how each business runs, find the tasks that eat up time, and automate them using tools that already exist. You won't be building AI from the ground up.

What you'll do:

  Look at how both businesses operate and find the tasks worth automating

  
  


• 
  

  Set up AI for customer support, like drafting replies, sorting incoming queries, handling common questions, and routing tickets to the right place

  
  


• 
  

  Take pressure off the inbox by sorting, summarizing, and drafting email responses automatically

  
  


• 
  

  Automate repetitive admin work like data entry, reporting, follow-ups, and moving information between systems

  
  


• 
  

  Connect the tools each business already uses, such as their CRM, help desk, email, and spreadsheets, so information moves on its own instead of by hand

  
  


• 
  

  Write up how each automation works and show the team how to run it

  
  


• 
  

  Handle sensitive information carefully and follow each business's compliance rules (the medical billing side deals with protected health information)

  
  

What this role is not:

You won't be building or training custom AI models, setting up infrastructure, or doing data science. The job is about using existing AI and automation tools well, and picking the changes that save the most time for the least effort.

What we're looking for:

  Real experience building automations, low-code or otherwise

  
  


• 
  

  Experience using AI tools like ChatGPT or Claude to automate actual work, not just experiment with them

  
  


• 
  

  Good prompt-writing skills, and the judgment to know when AI helps and when it doesn't

  
  


• 
  

  Comfortable connecting tools and working with APIs at a practical level

  
  


• 
  

  Familiar with common CRMs, help desks, and email platforms such as HubSpot, Zendesk, Intercom, Gmail, and Outlook

  
  


• 
  

  Able to spot the quick wins first and work through them in order of impact

  
  


• 
  

  A strong communicator who can work independently and manage their own time

  
  

Nice to have:

  Experience automating work in a marketing agency, or in billing, claims, or healthcare
