Job Description - Bid/Tender Coordinator (008-00244)

​​Looking for Filipino (Philippines-based) candidates

Job Role: Bid/Tender Coordinator

Compensation range: $1,500 AUD - $2,500 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.

Who The Client Is:

With a strong footprint across Australia’s eastern states, this long-established commercial services provider is known for delivering high-quality building maintenance and refurbishment solutions. Their clients range from major corporations to government agencies, and their projects span everything from reactive maintenance and insurance repairs to large-scale facility upgrades.

Role Overview:

We are seeking a proactive and detail-oriented Bid/Tender Coordinator to support our Sales and Customer Relations team. This role is crucial in ensuring timely and accurate preparation of bid and tender documents, assisting in proposal creation, and maintaining a streamlined process from document retrieval to submission.

Key Responsibilities: 

  • Monitor and download public and private tender opportunities from designated platforms or portals.
  • Assist in preparing, completing, and submitting tender documents and bid forms accurately and on time.
  • Coordinate with internal departments to gather relevant documentation and technical/commercial inputs needed for tenders.
  • Support the creation of proposals, including compiling company information, formatting, and proofreading.
  • Maintain a library of standard documents, company certificates, templates, and previous submissions.
  • Track tender submission deadlines and ensure timely follow-up.
  • Support sales and customer service team in ad hoc administrative tasks related to proposals and client documentation.

Required Skills and Qualifications:

  • At least 1–2 years of experience in a similar role, such as bid coordination, sales support, or administrative assistance.
  • Strong attention to detail and excellent organizational skills.
  • Proficient in Microsoft Office Suite (especially Word, Excel, and PDF editing tools).
  • Good communication skills and ability to work under pressure to meet deadlines.
  • Familiarity with tendering platforms and proposal documentation is an advantage.

Work Arrangement & Expectations:

This is a remote role that will be set up as an independent contractor engagement.

To ensure alignment and transparency, successful candidates will be expected to:

  • Be available for meetings and collaboration during core [AEST or PHT] business hours
  • Disclose any existing ongoing roles or client work
  • Reflect this engagement on their LinkedIn profile (clearly marked as “Independent Contractor”)
